Job Overview
We are seeking a detail-oriented and proactive Maintenance Coordinator Virtual Assistant (VA) to join our property management team. In this role, you will be responsible for overseeing and coordinating maintenance requests, ensuring repairs are handled efficiently, and maintaining excellent communication with tenants, vendors, and property managers. The ideal candidate will have strong organizational skills, a background in property management, and the ability to work independently in a virtual environment.
Key Responsibilities
- Maintenance Request Management
- Receive and prioritize maintenance requests from tenants and property managers.
- Assign maintenance tasks to appropriate vendors or contractors.
- Track the status of requests to ensure timely completion and tenant satisfaction.
- Vendor Coordination
- Source, schedule, and manage vendor services for routine maintenance and emergency repairs.
- Negotiate rates, verify vendor credentials, and maintain positive vendor relationships.
- Conduct follow-ups with vendors to ensure quality service and task completion.
- Communication and Tenant Support
- Maintain open lines of communication with tenants regarding repair timelines, status updates, and resolution expectations.
- Address tenant questions or concerns related to maintenance promptly.
- Documentation and Reporting
- Maintain accurate records of maintenance requests, vendor invoices, and work orders.
- Prepare periodic reports on maintenance activities, costs, and resolution times for management review.
- Budget and Cost Control
- Monitor and manage maintenance expenses within the budget guidelines.
- Identify cost-saving opportunities without compromising quality.
Qualifications
- Experience: Minimum of 1-2 years in a US maintenance coordination, property management, or similar role, ideally in a virtual capacity.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in property management software (e.g., Buildium, Appfolio, or similar platforms).
- Technical Requirements: Reliable internet connection, computer with up-to-date software, and familiarity with online communication and task management tools.
Preferred Qualifications
- Familiarity with maintenance coordination for residential properties.
- Experience managing and coordinating with vendors.
- Ability to work independently and manage time effectively.
