Job Overview
We are looking for a dedicated and organized Assistant Property Manager to support our property management team in the daily operations of residential and/or commercial properties. This role involves assisting with tenant relations, lease management, property maintenance coordination, and administrative tasks. The ideal candidate will possess a strong background in property management, excellent communication skills, and a commitment to providing a high level of service to tenants and property owners alike.
Key Responsibilities
- Tenant Relations
- Serve as the first point of contact for tenant inquiries and address any issues or concerns promptly.
- Communicate building policies, procedures, and regulations to tenants.
- Assist with tenant move-in and move-out processes, ensuring a smooth transition.
- Lease Administration
- Assist in preparing, managing, and updating lease agreements.
- Track lease expirations and renewals, ensuring all documentation is accurate and up to date.
- Process and follow up on lease applications, including background and credit checks as needed.
- Maintenance Coordination
- Oversee and prioritize maintenance requests, coordinating with vendors and contractors.
- Ensure timely responses to urgent repairs and regular maintenance tasks.
- Maintain a record of maintenance activities, vendor information, and work orders.
- Financial Management
- Assist in managing rent collection and follow-up on any outstanding payments.
- Prepare and review financial statements, budgets, and expense reports as directed by the Property Manager.
- Support cost control initiatives to maximize property profitability.
- Administrative Support
- Maintain accurate records of all property operations, tenant interactions, and financial transactions.
- Support the Property Manager with reports, correspondence, and property documentation.
- Coordinate property inspections and ensure compliance with safety standards.
Qualifications
- Experience: Minimum of 2 years in US property management, real estate, or a related field, ideally in an assistant or coordinator role.
- Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in property management software (e.g., Yardi, Buildium, Appfolio) and Microsoft Office Suite.
- Technical Requirements: Reliable internet connection, a computer with up-to-date software, and familiarity with virtual communication tools.
Preferred Qualifications
- Familiarity with lease management, property maintenance coordination, and tenant relations.
- Knowledge of local property management regulations and compliance standards.
- Ability to work independently, with a proactive approach to solving problems.
