Job Summary:
We are seeking a skilled and detail-oriented HOA Community Manager Virtual Assistant to oversee the daily operations of Homeowner Associations (HOAs) remotely. The ideal candidate will provide administrative support, manage homeowner interactions, and ensure community compliance with bylaws and regulations. This role requires excellent organizational and communication skills and familiarity with HOA operations.
Key Responsibilities:
- Community Management:
- Serve as the primary point of contact for HOA board members and homeowners.
- Address homeowner inquiries and concerns promptly, maintaining a positive rapport with residents.
- Mediate disputes and foster a sense of community within the HOA.
- Administrative Support:
- Organize and manage HOA documents, including governing documents, policies, and meeting records.
- Prepare budgets, financial reports, and correspondence for board review.
- Maintain accurate homeowner records and update community directories as needed.
- Meeting Facilitation:
- Schedule and organize HOA board meetings, annual general meetings, and special meetings.
- Prepare agendas, attend meetings, record minutes, and distribute actionable follow-ups.
- Maintenance Coordination:
- Manage and oversee work orders, vendor contracts, and community projects.
- Coordinate with vendors and service providers to ensure timely and high-quality property maintenance.
- Monitor common areas and ensure adherence to maintenance schedules.
- Compliance and Rules Enforcement:
- Ensure HOA operations comply with governing documents, bylaws, and local regulations.
- Issue violation notices and follow up on compliance resolutions.
- Assist in organizing and managing community elections.
Qualifications:
- Experience:
- Minimum 2 years of experience in HOA management or a similar community management role.
- Proven track record of managing community operations remotely is a plus.
- Technical Skills:
- Familiarity with HOA management tools like Appfolio, Vantaca, or CINC.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Basic understanding of financial reporting and budget preparation.
- Soft Skills:
- Strong interpersonal and communication skills to interact effectively with diverse stakeholders.
- Excellent organizational skills and attention to detail.
- Ability to handle conflict resolution with professionalism and empathy.
- Preferred Qualifications:
- Experience with community event planning or enhancing HOA engagement initiatives.
- Knowledge of legal and regulatory compliance specific to HOAs.
