Job Summary:
Our Assistants is looking for a detail-oriented and proactive Mortgage Virtual Assistant to support mortgage brokers, lenders, and real estate professionals in managing their daily operations. The ideal candidate will have experience in the mortgage industry and possess excellent organizational and communication skills.
Key Responsibilities:
- Loan Processing Support: Assist with loan applications, data entry, and ensuring that client documentation is complete and accurate.
- Client Communication: Respond to client inquiries via email or phone, providing timely updates and resolving issues as needed.
- Document Management: Organize, upload, and track documents required for mortgage applications. Follow up with clients to ensure deadlines are met.
- Pre-Qualification Support: Help mortgage brokers by gathering financial data from clients, verifying eligibility, and preparing pre-qualification documents.
- CRM Management: Update and maintain customer relationship management (CRM) systems to ensure accurate client and lead information.
- Appointment Scheduling: Manage calendars and schedule appointments for brokers, lenders, and other team members.
- Pipeline Tracking: Monitor the status of active loans, ensuring all tasks are completed on time and escalating delays to the appropriate team members.
- Compliance Support: Ensure all documentation complies with regulatory requirements and company policies.
- Market Research: Assist in gathering and analyzing data on interest rates, loan products, and competitor offerings.
- Administrative Tasks: Perform other general administrative duties, such as email management, report generation, and data organization.
Qualifications:
Experience:
- At least 1-2 years of experience in the mortgage or real estate industry, preferably as an assistant or coordinator.
- Familiarity with loan processing systems and industry-specific tools.
Technical Skills:
- Proficiency in mortgage software and CRM platforms (e.g., Encompass, Calyx, Salesforce, or similar).
- Strong skills in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.
- Excellent written and verbal communication skills.
Soft Skills:
- Strong organizational and time-management skills.
- Attention to detail and accuracy in managing financial and client data.
- Ability to handle confidential information with discretion.
- Customer-focused mindset with a problem-solving attitude.
- Self-motivated and able to work independently in a remote environment.
