Job Summary
We are looking for a proactive and detail-oriented Executive Assistant to a Property Manager to support the daily operations and administrative tasks of our U.S.-based property management clients. This role involves managing calendars, communications, documentation, and reportingensuring the Property Manager can operate efficiently and focus on high-level tasks.
Key Responsibilities

Manage emails, calendars, and appointments on behalf of the Property Manager

Prepare and organize property management documents such as lease agreements, notices, and reports

Coordinate maintenance schedules, vendor communication, and resident updates

Track tasks and follow up on deadlines, inspections, rent collections, and lease renewals

Draft communications, respond to inquiries, and relay messages to tenants, vendors, and owners

Assist in preparing presentations, financial summaries, and board meeting materials

Maintain organized digital files and update property records in software systems

Handle confidential information with discretion

Provide general administrative and operational support as needed
Qualifications and Skills
Required:

2+ years of experience in administrative or executive support, ideally in a property management setting

Proficiency in property management software (e.g., AppFolio, Buildium, Yardi)

Excellent written and verbal English communication skills

Strong organizational skills and the ability to manage competing priorities

Familiarity with lease terms, notices, and property maintenance coordination

Proficiency with Google Workspace or Microsoft Office tools
Preferred:

Experience working with U.S.-based property managers or leasing teams

Ability to prepare reports, presentations, and internal updates for executives

Knowledge of fair housing laws and landlord-tenant regulations
