Job Summary

We are looking for a proactive and detail-oriented Executive Assistant to a Property Manager to support the daily operations and administrative tasks of our U.S.-based property management clients. This role involves managing calendars, communications, documentation, and reportingensuring the Property Manager can operate efficiently and focus on high-level tasks.

Key Responsibilities

  • Manage emails, calendars, and appointments on behalf of the Property Manager

  • Prepare and organize property management documents such as lease agreements, notices, and reports

  • Coordinate maintenance schedules, vendor communication, and resident updates

  • Track tasks and follow up on deadlines, inspections, rent collections, and lease renewals

  • Draft communications, respond to inquiries, and relay messages to tenants, vendors, and owners

  • Assist in preparing presentations, financial summaries, and board meeting materials

  • Maintain organized digital files and update property records in software systems

  • Handle confidential information with discretion

  • Provide general administrative and operational support as needed

Qualifications and Skills

Required:

  • 2+ years of experience in administrative or executive support, ideally in a property management setting

  • Proficiency in property management software (e.g., AppFolio, Buildium, Yardi)

  • Excellent written and verbal English communication skills

  • Strong organizational skills and the ability to manage competing priorities

  • Familiarity with lease terms, notices, and property maintenance coordination

  • Proficiency with Google Workspace or Microsoft Office tools

Preferred:

  • Experience working with U.S.-based property managers or leasing teams

  • Ability to prepare reports, presentations, and internal updates for executives

  • Knowledge of fair housing laws and landlord-tenant regulations

Additional Requirements

  • Must be currently residing in the Philippines or Latin America
