Location: This is a full-time, in-office role based in San Rafael, CA
Note: Must have law firm operations experience plus strong financial operations skills (A R, A P, cost recovery, trust accounting), be highly organized, and be tech savvy with legal systems.

Job Description
- Own day-to-day legal operations and administrative execution for a busy law practice
- Manage billing and payment workflows, including cost recovery, invoicing, A R follow-up, and A P processing
- Support trust account administration and ensure accurate, compliant handling of client funds
- Maintain clean, consistent digital and physical file systems, naming conventions, and document control
- Coordinate key deadlines, renewals, and annual business requirements so nothing slips
- Run and improve the firms systems and workflows, including case management and payment platforms (Clio and LawPay)
- Serve as a professional point of contact for clients, vendors, and internal stakeholders
- Track operational tasks, surface issues early, and drive process improvements with the partners
- Support HR administration (onboarding basics, tracking requirements, internal coordination)
- Assist with light marketing support such as online presence, outreach, and basic coordination as needed
- Maintain strict confidentiality and handle sensitive matters with strong judgment
Qualifications
- 3+ years of law firm operations experience (legal operations, firm administrator, office manager, senior paralegal with heavy ops)
- Strong financial operations capability: A R, A P, invoicing, cost recovery, trust accounting exposure
- Comfortable owning annual compliance and business requirement deadlines and checklists
- Tech savvy and confident learning new systems quickly (Clio and LawPay experience is strongly preferred)
- Excellent organization and follow-through with high document volume and shifting priorities
- Strong written communication, proofreading, and polished client-facing professionalism
