Job Description:

The Administrative Assistant provides high-level administrative and organizational support to the CEO, CTO, and CCO of OSL. In addition to handling daily administrative tasks, this role includes supporting light project coordination duties, such as meeting follow-ups, task tracking, and coordination with team members, to enhance efficiency across projects. The ideal candidate is detail-oriented, proactive, and capable of handling multiple responsibilities in a dynamic, fast-paced environment.

Key Responsibilities:

1- Executive Administrative Support:

  • Provide day-to-day administrative support to management and team members
  • Manage calendars, schedule meetings, and coordinate appointments across departments
  • Draft letters, memos, and official project correspondence in English and Arabic
  • Prepare, format, and organize reports and presentations.
  • Coordinate travel arrangements and meeting logistics when required

2- Office Coordination & Operational Support:

  • Maintain accurate filing systems (both electronic and physical).
  • Assist with procurement requests, invoices, and basic administrative follow-ups.
  • Support internal coordination between departments and external stakeholders.

3- Meeting Preparation & Documentation

  • Prepare and distribute accurate Minutes of Meetings (MoMs) and follow up on assigned actions.
  • Schedule and organize meetings, workshops, and other project-related activities.
  • Follow up on action items with relevant stakeholders to ensure timely progress updates.
  • Help maintain updated action trackers and flag delays to the executives when needed.

    4- Light Project Coordination Support:

    • Follow up with team members to ensure timely completion of assigned tasks and deliverables.
    • Assist in tracking deadlines and reminding stakeholders of key dates.
    • Support the development of simple project reports and status updates as requested by the executives.


    Qualifications:

    • 4-5 years of experience in an administrative or executive assistant role, ideally with some exposure to project coordination.
    • Bachelor's degree or diploma in Business Administration or a related field is preferred.
    • Excellent command of the English language, both written and verbal.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and time-management skills.
    • High attention to detail and ability to multitask.
    • Professional attitude with a high level of discretion and confidentiality.
