Job Description:
The Document Controller will oversee the systematic management, organization, and security of all legal, regulatory, and operational documents critical to the management of the Giza Plateau. This role ensures compliance with corporate governance standards while supporting the Legal Counsel in safeguarding the sites legal integrity. The ideal candidate will balance meticulous record-keeping with an understanding of tourism operations.
Key Responsibilities:
- Maintain a centralized repository for legal agreements, permits, contracts, compliance records, and operational policies.
- Implement version control, metadata tagging, and secure access protocols for sensitive documents.
- Track deadlines for permit renewals, regulatory filings, and contractual obligations.
- Assist in drafting, reviewing, and archiving legal documents (e.g., vendor contracts, stakeholder agreements, NDAs).
- Prepare documentation for litigation, disputes, or audits related to site operations.
- Organize documents for internal/external audits and regulatory inspections.
- Generate compliance reports for the Chief Legal Officer and senior management.
- Work with HSE, Operations, and Mobility teams to ensure accuracy of permits, safety protocols, and visitor management plans.
- Enforce strict data protection measures for sensitive documents, including intellectual property.
- Oversee document management software (e.g., SharePoint, Aconex) and ensure seamless integration with legal and operational tools.
- Digitize legacy records to enhance accessibility and compliance.
- Act as the central point for receiving and dispatching official communication to and from government authorities, regulatory bodies, and other external entities.
- Maintain a register of all official correspondences with external authorities, including submission dates, response deadlines, and assigned internal actions.
- Ensure external communications are reviewed and approved by Legal (and other relevant departments) before dispatch.
- Develop and maintain document control procedures and systems.
- Ensure that documents are filed and archived properly (digital and physical).
- Support audits and compliance checks by providing necessary documentation.
- Train staff on document control processes and systems.
- Update the legal department with all necessary action in relation with the documents.
- Ensure the confidentiality of the documents and their restrictive use, as applicable.
Qualifications:
- Bachelors degree in Law, Business Administration, Information Management, or related field.
- 3+ years in document control, preferably in legal, heritage, or tourism sectors.
- Strong organizational skills.
