Purpose of the job

Handling all personnel & administration duties of company employees including leaves, over-time, hiring documents and maintaining updates employees files.

Duties and responsibilities

  1. Handle day-to-day personnel operations.
  2. Check Egypt Resignations inbox and responds to employees inquiries.
  3. Send the clearance steps by e-mail to all resigning employees.
  4. Take all the needed actions on oracle on the date of separation.
  5. Send the separation sheet to the Payroll team before the closing date after checking employees termination on oracle.
  6. Coordinate with all stakeholders to manage the clearance process.
  7. Ensure employees have signed all the needed declaration forms & formal resignation documents before the separation date
  8. Send clearance emails after receiving feedback from all stakeholders & receiving employees medical & ID cards.
  9. Ensure cleared employees have received all their documents.
  10. Issue experience letters .
  11. Send the separation sheet to the contact persons in the banks on the first of each month
  12. Ensure the families of deceased employees get the financial entitlements.
  13. Maintain different employment and separation filing and documents archiving.
  14. Support the Personnel team members with the hiring process for new hires and contract renewals
  15. Monthly reporting of the actions taken.

Job specification

Education

  • Bachelors degree from a recognized university; preferably in business administration.

Experience

  1. From 1-2 years of experience in an administrative role.
  2. HR experience is an asset.

Skills and abilities

  1. Very good English both spoken and written.
  2. Very good computer skills, especially Excel.
  3. Very good coordination, communication and follow up skills.
  4. Good customer orientation, team work and interpersonal skills.
  5. Flexible with ability to work under stress.
