Purpose of the job

Provide unparalleled administrative support to our top executive leadership. This role is crucial in managing and overseeing all aspects of the CEOs office operations.

Duties and responsibilities

  • Provide high-level administrative support, including preparing and managing the CEOs daily schedule and very active calendar, coordinating meetings, events, conference calls and record filing.
  • Coordinate travel arrangements, visas, and agendas.
  • Coordinate the CEOs speaking events.
  • Act as the primary contact for French-speaking visitors and dignitaries and handle all logistics related to international visits.
  • Arrange Executive Committee meetings and Board meetings (Agendas, Catering, etc.).
  • Handle all correspondence in both French and English, including drafting, editing, and translating documents.
  • Act as a point of contact for problem resolution, using discretion and judgment to address issues that arise in the executive office.
  • Assist in the coordination and execution of special projects as directed by the CEO. This may include research, report preparation, and cross-departmental collaboration.

Job specification

Education

  • University Degree from a renowned university.
  • Fluent French speaker.

Experience

  • Minimum of 15 years of experience in a senior administrative or executive support role, with a proven track record of supporting C-level executives in a fast-paced, international environment.

Skills and abilities

  • Excellent verbal and written communication skills in both French and English, with a strong ability to translate accurately.
  • Manage multiple tasks, prioritize effectively, and maintain attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
  • Experience with virtual meeting platforms and project management software is an asset.
  • Strong interpersonal skills.
  • Flexibility and ability to work beyond regular business hours as needed.
