About the Role
We are looking for a detail-oriented Triage Specialist to support a medical records workflow. This role serves as an initial quality-control point, reviewing signed HIPAA authorizations, verifying patient and case information, and preparing documentation before cases move forward in the records retrieval process.
The ideal candidate is highly accurate, comfortable reviewing legal and medical documents, and able to identify inconsistencies or missing information before they cause delays.
Key Responsibilities
- Review HIPAA Authorizations: Verify signatures, patient information, dates of birth, dates of service, and other required details. Review supporting documentation such as Power of Attorney (POA) or guardianship documents when applicable.
- Cross-Check Case Details: Compare authorization information against internal records and identify discrepancies in names, dates of birth, or other case details.
- Prepare Documents: Transfer required information into authorization templates using Adobe Acrobat or similar document-editing tools.
- Perform Quality Checks: Review completed files for accuracy, completeness, formatting issues, and other potential reasons for rejection.
- Identify and Resolve Defects: Flag missing or invalid information, create clear follow-up tasks, and place cases on hold until required corrections are completed.
- Follow Up and Escalate: Monitor pending cases and escalate urgent or delayed items with clear, specific information.
- Maintain Accurate Records: Document decisions, updates, and case status so information is clear and accessible to other team members.
Required Qualifications
- Excellent written English with strong attention to detail.
- Strong ability to read and understand legal and medical documents.
- High level of accuracy when reviewing and comparing information.
- Strong organizational and follow-up skills.
- Ability to identify discrepancies and missing information.
- Ability to work independently and follow established procedures.
- Comfortable working with digital documents and document-editing tools.
- Availability to work a schedule that overlaps with U.S. Eastern Time business hours.
Preferred Experience
Experience in any of the following areas is an advantage:
- HIPAA authorization or Release of Information (ROI) review
- Legal assistant or paralegal work
- Personal injury or medical malpractice support
- Medical records intake
- Health Information Management (HIM)
- Document quality control or data verification
- PDF editing using Adobe Acrobat or similar tools
Skills Assessment
Shortlisted candidates may be asked to complete a timed skills assessment independently and without the use of AI tools.
The assessment may evaluate:
