Role Overview

A Property Administrator within the Dubai office, working as part of the Property Management team on managed properties. The role requires full-time liaison with landlords, tenants, and service providers, with responsibility for overseeing the end-to-end property management process.

Key Responsibilities

Operational Support

  • Provide administrative support services for the efficient and effective operation of the Property Management department.
  • Maintain an accurate filing system incorporating tenant information, building/equipment maintenance, occupancy data, and accounting records.
  • Prepare and send lease renewal notices.

  • Draft tenancy agreements for new leases and lease renewals.

  • Follow up on lease renewals and cheque settlements.

  • Ensure tenant concerns and complaints are addressed promptly and satisfactorily.

  • Register tenancy contracts in the Ejari system.

  • Assist tenants in registering utilities (water and electricity) with DEWA.

  • Assist with the preparation of monthly management reports for designated properties.

  • Meet tenants to receive signed tenancy contracts, ID documents, and lease-related payments.

  • Prepare onboarding/offboarding files for new/vacating tenants for handover to client offices.

  • Input data into the relevant property management systems.

  • Collaborate effectively with team members, sharing knowledge and experiences to enhance efficiencies.
  • Contribute to the achievement of team goals and departmental objectives. Client & 


Stakeholder Management

  • Maintain strong day-to-day rapport with clients and tenants, reflecting a high level of professionalism.

  • Uphold service quality aligned with the organizations brand and reputation.

     

Financial Responsibilities

  • Ensure departmental targets are met on a monthly basis.

  • Ensure timely processing of renewals and the receipt and dispatch of rental cheques to landlords.

Systems & Process

  • Demonstrate proficiency in Microsoft Office, particularly Excel and PowerPoint.

  • Follow established processes end-to-end, identifying areas for improvement to maximize efficiency.

  • Ensure accurate and timely input of data into Excel sheets and software platforms.

  • Knowledge of Happy Tenant, Yardi, or PACT is advantageous but not required.

     

Skills, Knowledge, and Experience

  • Highly organized with a methodical approach to tasks.

  • Ability to multitask efficiently and maintain attention to detail.

  • Confident and outgoing, with strong communication skills (English required).

  • Experience in a client- and customer-facing role.

  • Previous professional office experience, ideally within a property management department.

  • Strong interpersonal skills with a team-oriented mindset.

  • Proactive and solution-driven.
