Position Summary:

Provides comprehensive administrative and operational support to plant leadership, including the Assistant Manager, Plant Manager, and Director of Operations, with a focus on facilitating communication between English- and Japanese-speaking stakeholders. Responsible for coordinating daily administrative tasks, managing production data and inventory processes, and supporting cross-departmental collaboration through accurate reporting and system integration such as SAP. Plays a key role in driving production efficiency by assisting in production planning, procurement coordination, and environmental sustainability initiatives. Ensures compliance with quality management standards and safety protocols through diligent document control, audits, and continuous improvement activities. Additionally, supports budget management for capital projects and organizes internal events to enhance workplace engagement.

Essential Functions:

  • Communicate professionally in both English and Japanese, including drafting correspondence and providing accurate simultaneous and consecutive interpretation in support of business operations and meetings.
  • Prepare, format, and proofread a variety of reports, correspondence, and operational documents, ensuring accuracy, consistency, and adherence to established standards.
  • Maintain and administer organized filing systems and business records, including inventory documentation and vendor compliance materials (e.g., certificates of insurance).
  • Collaborate with other departments to analyze budgets and past performance while assessing on-site conditions. Based on this, develop and manage production plans to drive the achievement of production targets.
  • Collect and analyze daily production data via FC and prepare it for regular meetings with on-site staff and engineers. Integrate this information into SAP for centralized management and smooth cross-department collaboration.
  • Coordinate with the purchasing department to manage material orders. Monitor delivery schedules and inventory levels to ensure stable production support through timely procurement.
  • Collect and manage manufacturing site energy/waste data to support environmental impact reduction. Collaborate on energy-saving and waste reduction initiatives.
  • Oversee the core elements of production (safety, 5S, Kaizen, and CR) and environmental sustainability, and ensure high safety and quality standards through continuous plant patrol, internal audits, and the optimization of resource management.
  • Assisting in planning and managing budgets for capital projects related to the new production equipment and lines, helping to monitor costs and progress to support the stable operation of the production system.
  • Maintain the QMC based on ISO and related standards by managing and updating documents such as SOPs, supporting calibration record management, and ensuring on-site compliance with procedures and quality standards.
  • Plan and coordinate plant tours and employee appreciation events through team collaboration, on-site checks, and hands-on management to ensure smooth and successful execution.

Required Skills/Abilities:

Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

  • Strong written communication skills, including grammar, spelling, and professional document preparation.
  • Solid mathematical and analytical skills, with the ability to perform routine calculations and support data reconciliation activities.
  • Comfortable using business systems, internet-based tools, and general office technology.
  • Strong organizational skills with the ability to manage multiple tasks and maintain accuracy in a fast-paced environment.
  • Ability to work independently with moderate supervision and escalate issues as appropriate.

Education and Experience:

High school diploma or GED required; Associate's degree or coursework in Business Administration or a related field preferred.

  • Minimum of 3 years of relevant administrative, clerical, or operational support experience, preferably in a manufacturing, production planning, or inventory-related environment.
  • Experience with bookkeeping, inventory coordination, or production planning support is preferred.

Physical Requirements:

  • Prolonged periods of sitting and working on a computer, including frequent use of hands and fingers for typing and operating office equipment.
  • Ability to communicate effectively in person, by phone, and in virtual settings.
  • Occasional standing, walking, and movement between office and manufacturing areas to support operations.
  • Ability to lift and/or move items up to 15–25 pounds as needed.
  • Ability to work in a manufacturing environment with varying noise levels, temperatures, and proximity to equipment, following all safety protocols.
