About the Role
We are seeking a highly organized and detail-oriented Operations Support Officer / Coordinator to support daily operational activities, compliance processes, scheduling, reporting, and systems administration. This role plays a critical part in ensuring smooth coordination between internal teams, field staff, clients, and the Control Room.
The ideal candidate is proactive, adaptable, and experienced in managing operational systems, reporting, and administrative processes in a fast-paced environment.
Key Responsibilities
Operational Coordination
- Manage daily operational systems including scheduling, rostering, and task coordination using TrackTik and Deputy
- Monitor and update operational platforms to ensure accuracy of records, schedules, and reporting
- Coordinate schedules and operational updates between internal teams, field staff, and stakeholders through Zendesk and internal communication channels
- Prepare and distribute operational briefs, updates, and reports
- Assist in maintaining change requests, operational logs, and service updates
- Support day-to-day operational administration and workflow management
Compliance & Reporting
- Conduct regular compliance checks and audits
- Monitor staff compliance requirements and provide notifications for expiring documentation or licenses
- Generate weekly and monthly operational reports including KPI, overtime, and compliance reporting using TrackTik and Excel
- Maintain accurate compliance records and reporting systems
- Support HR and operational compliance updates across systems including Deputy, SharePoint, and TrackTik
Documentation & Systems Administration
- Maintain organized digital filing systems and documentation within SharePoint
- Ensure operational records, reports, and data are accurate, updated, and accessible
- Assist in updating and maintaining Standard Operating Procedures (SOPs)
- Support the administration of operational platforms, including TrackTik, Zendesk, Deputy, and SharePoint
Client & Scheduling Support
- Prepare and distribute monthly client reports
- Assist with future roster planning and scheduling coordination
- Support communication between operations teams, clients, and the Control Room
- Ensure schedules and operational updates are communicated efficiently and accurately
Skills & Experience
- Previous experience in operations support, administration, coordination, or a similar role
- Experience using TrackTik, Zendesk, SharePoint, and Deputy is highly regarded
- Strong Microsoft Office and spreadsheet reporting skills, particularly in Excel
- Strong organizational and multitasking skills
- Excellent attention to detail and problem-solving abilities
- Ability to work in a fast-paced environment and manage competing priorities
- Strong written and verbal communication skills
