The AR/AP Specialist is responsible for managing the organization's accounts receivable and accounts payable functions to ensure accurate and timely processing of financial transactions. This role involves invoicing, payment processing, account reconciliation, maintaining financial records, and collaborating with internal teams and external vendors or customers to resolve discrepancies.

Key Responsibilities

  • Process customer invoices and ensure timely collection of outstanding payments.
  • Monitor accounts receivable aging and follow up on overdue accounts.
  • Process vendor invoices, verify supporting documentation, and prepare payments.
  • Reconcile accounts receivable, accounts payable, and general ledger accounts.
  • Investigate and resolve billing, payment, and account discrepancies.
  • Maintain accurate financial records and supporting documentation.
  • Communicate with customers, vendors, and internal stakeholders regarding payment and invoice inquiries.
  • Assist with month-end and year-end closing activities.
  • Prepare AR/AP-related financial reports as required.
  • Ensure compliance with company policies, accounting standards, and internal controls.
  • Support internal and external audits by providing requested documentation and reconciliations.
  • Identify opportunities to improve AR/AP processes and enhance operational efficiency.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 3–5 years of proven experience in Accounts Receivable, Accounts Payable, or a similar accounting role.
  • Experience using Xero accounting software is required.
  • Experience supporting Australian clients or working in an Australian accounting environment is highly preferred.
  • Strong understanding of accounting principles and financial processes.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Excellent attention to detail, organizational, and time management skills.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Positive, proactive, and adaptable with a strong can-do attitude and willingness to take ownership of tasks.
