Our client is a new and dynamic biotechnology company based in Cardiff. We are supporting them in their search for an organised and proactive Administrative Assistant to support our growing team and ensure smooth day-to-day operations in our Cardiff office.
Role Overview:
As an Administrative Assistant, you will play a key role in maintaining the efficiency of our clients office, handling administrative duties, and acting as a crucial point of contact for internal and external stakeholders. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys supporting teams to achieve their goals.
Key Responsibilities:
- Administrative Support: Manage calendars, coordinate meetings, and prepare agendas and minutes.
- Documentation: Maintain organised records and files, ensuring smooth document management and retrieval.
- Communication: Act as the first point of contact for both internal and external inquiries, providing excellent customer service.
- Office Management: Ensure the office is well-stocked, organised, and equipped with necessary supplies.
- Travel & Logistics: Arrange travel, accommodations, and other logistics for team members attending events or conferences.
- Financial Support: Assist with budget tracking, procurement, and processing invoices.
- Event Coordination: Help organise company events, meetings, and conferences, including managing logistics.
- Team Support: Provide general administrative assistance to the team and management as needed.
- Compliance: Ensure all office operations are in line with institutional policies and ethical guidelines.
What Were Looking For:
- Education: Strong proficiency in English (both written and spoken).
- Experience: Prior administrative experience, ideally in a smaller business environment.
- Skills: Proficiency in Microsoft Office Suite, with strong organisational, multitasking, and time-management skills.
- Attributes: Detail-oriented, reliable, and capable of working independently and collaboratively in a team setting.
