Job Summary:

We are looking for an organized and detail-oriented Project Management Coordinator to assist in the planning, execution, and tracking of cross-functional initiatives within a shared services or enterprise operations setting. This role will support project managers and stakeholders by maintaining schedules, updating project documentation, coordinating meetings, and monitoring action items to ensure timely delivery of tasks.

The ideal candidate has strong communication skills, experience in project environments, and the ability to juggle multiple priorities while maintaining structure and visibility across projects.

Key Responsibilities:

  • Support project managers in planning, organizing, and tracking key project deliverables, milestones, and dependencies.
  • Prepare and maintain project documentation, such as status reports, meeting notes, schedules, and dashboards.
  • Coordinate meetings, workshops, and stakeholder communications; prepare agendas and capture action items.
  • Assist in maintaining project tools or systems (e.g., JIRA, MS Project, Smartsheet, Confluence).
  • Follow up on deliverables, resource assignments, and issue resolutions to keep projects on schedule.
  • Support risk and issue tracking, ensuring logs are updated and escalations are managed effectively.
  • Contribute to process improvements within the project management framework and knowledge base.
  • Act as a liaison between project teams, departments, and external partners to ensure alignment and transparency.

Qualifications:

  • Bachelors degree in Business Administration, Project Management, Information Technology, or a related field.
  • 2-4 years of experience in project coordination, project support, or operations within a shared services or corporate environment.
  • Familiarity with project management methodologies (Agile, Waterfall, or hybrid) and tools.
  • Proficient in Microsoft Office Suite; experience with project tools (e.g., MS Project, JIRA, Asana, Smartsheet) is a plus.
  • Excellent organizational skills, time management, and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to multitask and adapt in a dynamic, fast-paced environment.
  • Project Management certification or training (e.g., CAPM, PMP) is a plus but not required.
