POSITION TITLE: ASSISTANT / JUNIOR PROJECT MANAGER



PRIMARY OBJECTIVES



Provide support and assistance for a variety of professional project management services to new

and existing clients.

Work with senior staff on deliverables required within our commission.

Provide professional communications and support with customers, suppliers and colleagues

Undertake works and duties in a timely and accurate manner

Develop skills and experience through exposure and training

for our clients

Learn from mistakes to ensure they do not reoccur.

o Ongoing Project Management duties - Assist the Project Manager on commissions to ensure

deliverables are provided.

o Maintaining Records - maintaining the integrity of the team records management system to ensure

a timely record of accurate information, filing is up to date, accurate, databases are maintained for

ease of access, retrieval and reporting

o Team work - actively participate as a member of a team to move the team toward the completion of

goals.

o Customer service - ability to develop and maintain positive relationships and ensure the delivery of

a consistent, correct and high-quality outputs.

JOB RESPONSIBILITIES



General Office Tasks

o Answer phone (in absence of Project support)

Fee Proposals

o Receive Request fee Proposal

o Draft Sub-Consultant fee requests

o Send Sub-Consultant requests

o Evaluate Consultants Responses

o Capture Consultant Fees in Cost Reports

General



o Maintain ongoing client communication and resolve issues expeditiously;

o Reading and understanding drawings, including construction industry terminology

o Ability to use appropriate software and technology e.g. Dynamics BC, MS Excel and MS Office

o Ability to use appropriate software and technology- MS Project

o Maintain office in a clean and tidy condition, including filling, running and emptying the dishwasher,

emptying the shredder and keeping the office and your desk clean / tidy.

Project Management



o Set and maintain milestones

o Update dynamics with dates, milestones and reporting

o Assist in establishing a clients requirements and undertaking return briefing

o Attend design team meetings;

o Assist in Preparing scopes of works ready for tender

o Prepare and download Eplan drawings, BEMIR reports

o Assist in preparing tender documents, contracts and terms of tendering / contracting (to be reviewed

by senior staff)

o Create Tender Analysis Templates, Cost Report and Draft LOA

o Assist in preparing tender evaluations, reports and letters

o Assist in resolving contractual claims and disputes

o Assist in providing client and contractor directions and information relating to projects

o Assist in providing solutions, value management services

o Assist in preparing work breakdown structures and programmes (to be reviewed by senior staff)

o Assist in completing valuations of work complete on site, undertake site visits

o Assist in preparation of cash flows (to be reviewed by senior staff)

o Assist in amending / updating Cost Reports;

o Complete AMU

o Complete Componentization Reports

COMPETENCIES



o Degree Qualified tertiary degree / diploma

o Commercial Experience - Minimum of 1 year commercial experience

o Professional membership AIPM registration

o Communication skills: clearly convey information

o Customer service: ability to ensure the delivery of a consistent, efficient and high-quality service.

o Interpersonal skills: ability to build and sustain relationships, develop collaborative working

relationships.

o Managing work: effectively manage ones time and resources to ensure that work is completed

efficiently and to quality standard.
