Role Summary: NearSource is seeking an Administrative Assistant – Workplace Operations to support day-to-day office and facilities functions in a fast-paced environment. This role focuses on ensuring seamless workplace operations, including reception coverage, event coordination, and office organization. The ideal candidate demonstrates strong attention to detail, proactive problem-solving, and a commitment to high-quality service delivery.

Key Responsibilities

  • Support daily workplace operations, including reception coverage and front-desk coordination
  • Execute meeting room setup, configuration, and teardown based on business needs
  • Coordinate event logistics, including setup and post-event breakdown
  • Maintain office organization, ensuring supplies are stocked and readily available
  • Assist in facilities coordination, including basic maintenance tracking and vendor scheduling
  • Monitor workplace conditions and address issues to ensure a safe and efficient environment
  • Collaborate with internal teams to support administrative and operational requirements
  • Deliver high-touch, service-oriented support aligned with workplace standards
  • Adapt to changing priorities and execute tasks in a fast-paced environment

Must-Have Skills

  • Demonstrated experience supporting facilities operations and workplace events
  • Ability to perform effectively in a fast-paced, dynamic environment
  • Experience delivering high-touch or white-glove service
  • Strong organizational and communication skills
  • Ability to coordinate with vendors and manage scheduling tasks
  • Detail-oriented with a proactive and problem-solving mindset
  • Capability to lift up to 50 pounds as part of workplace support tasks

Nice-to-Have Skills

  • Basic understanding of office facilities, maintenance, and safety protocols
  • Exposure to workplace coordination or office administration environments
  • Experience supporting corporate office operations

Certifications

  • High School Diploma required
  • Post-secondary education preferred
