Position Overview: We are seeking a proactive and detail-oriented Executive Assistant to support our CEO. The ideal candidate will be fully fluent in both English and Spanish, possess experience with Mexican bookkeeping and governmental procedures, and demonstrate a high proficiency in MS Office applications. Additionally, experience with ERP systems like Odoo and the ability to supervise administrative staff are highly preferred.

Key Responsibilities:

  • Executive Support: Manage the CEO's calendar, coordinate meetings, and handle correspondence in both English and Spanish.
  • Supervision: Oversee administrative staff, including accounting/bookkeeping, legal, and general administrative personnel, ensuring efficient workflow and adherence to company policies.
  • Bookkeeping: Oversee the keeping of accurate financial and legal records, including accounts payable and receivable, in compliance with Mexican accounting standards.
  • Payroll Management (Nómina): Oversee processing of payroll, ensuring timely and accurate salary disbursements and adherence to relevant regulations.
  • Government Liaison: Interface with Mexican government agencies such as SAT to ensure compliance with legal and tax obligations.
  • ERP Management: Utilize ERP systems like Odoo to streamline operations; experience with such systems is preferred.
  • Document Preparation: Draft, translate, and proofread documents and reports as needed.
  • Office Coordination: Assist in organizing both virtual and in-person meetings, including preparation of materials and logistics.

Qualifications:

  • Language Proficiency: Full fluency in English and Spanish, both written and spoken.
  • Experience: Minimum of 3 years in an executive support role, preferably supporting senior executives. Experience working for a staffing/recruiting firm is highly preferred.
  • Supervisory Skills: Proven experience in supervising administrative staff across various functions.
  • Technical Skills: Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • ERP Knowledge: Experience with ERP systems like Odoo is preferred.
  • Accounting Knowledge: Experience with Mexican bookkeeping practices, payroll processing (nómina), and familiarity with SAT procedures.
  • Adaptability: Ability to learn and utilize various productivity applications and software tools.
  • Work Arrangement: Ability to work on a hybrid basis, with reliable transportation to Nearshore Cyber's offices as required.
