Location: Panama City, Panama 

Type of Contract: Full-Time | On-Site

Salary Range: 1,000–1,400/month

Language Requirements: Fluent English and Spanish, both spoken and written

Our client is seeking a highly organized and discreet Bilingual Executive / Personal Assistant & Office Manager with experience supporting senior leaders or founders in a fast-paced environment. You will play a key role in managing executive priorities, coordinating operations, and ensuring the founders’ schedules, communications, and day-to-day needs run smoothly. Your work will directly impact leadership efficiency and the continued growth of their international operations across Latin America.

Key Responsibilities

  • Manage complex and frequently changing calendars, meetings, and appointments across multiple time zones.
  • Coordinate regional and international travel, including flights, accommodations, transportation, and detailed itineraries.
  • Screen, prioritize, and coordinate executive communications to ensure timely follow-up and no missed priorities.
  • Prepare, format, and organize documents, presentations, reports, and other executive materials.
  • Liaise professionally with clients, regional hub leads, service providers, and other stakeholders on behalf of the founders.
  • Handle confidential, personal, and ad-hoc tasks that support the founders and keep daily operations running efficiently.
  • Support office management and in-person administrative needs in Panama City, helping maintain an organized and professional work environment.

Must-Have Qualifications

  • 3+ years of experience as an Executive Assistant, Personal Assistant, Office Manager, or similar role supporting a senior leader, executive, or founder.
  • Fully bilingual in English and Spanish, with strong professional communication skills in both languages.
  • Exceptional organizational skills with strong attention to detail, prioritization, and follow-through.
  • High level of discretion and professionalism when handling confidential business and personal information.
  • Ability to remain calm, adaptable, and effective in a fast-paced environment with shifting priorities and limited direction.
  • Strong proficiency with modern productivity and communication tools, including calendars, document platforms, messaging applications, and video conferencing.
  • Based in Panama City and available to work in person five days per week.

Preferred Qualifications

  • Experience supporting founders, entrepreneurs, or executives in an international or professional services environment.
  • Experience coordinating activities across multiple countries and time zones.
  • Familiarity with AI assistants and modern productivity tools.
  • Experience with office administration, vendor coordination, and general workplace operations.
