We are seeking a skilled AI & Operations Project Coordinator with hands-on experience in AI tools, HubSpot administration, and project execution to join our growing team. You will play a key role in driving operational initiatives, optimizing workflows, and supporting CRM and automation projects alongside leadership. Your work will directly impact operational efficiency, deal flow visibility, and the scalability of our business.
Key Responsibilities
- Own and execute assigned operational projects from kickoff through completion, ensuring deadlines and objectives are met.
- Build, maintain, and improve project trackers, SOPs, process documentation, and operational workflows.
- Identify opportunities to leverage AI tools, particularly Claude and related platforms, to automate repetitive tasks and improve productivity.
- Design, test, and implement automation workflows using available tools and systems.
- Manage and maintain HubSpot, including data hygiene, pipeline management, workflow configuration, and reporting.
- Develop dashboards and reports that provide leadership with accurate, real-time operational and pipeline insights.
- Proactively identify process inefficiencies and implement solutions that improve team performance and scalability.
Must-Have Qualifications
- 2–4 years of experience in operations, project coordination, revenue operations, or a related field.
- Strong hands-on experience with HubSpot, including workflows, reporting, data management, and CRM administration.
- Daily user of AI tools with demonstrated experience applying AI to improve workflows, efficiency, or business outcomes.
- Excellent project management and organizational skills with the ability to manage multiple priorities simultaneously.
- Strong problem-solving mindset with a proactive approach to identifying and implementing solutions.
- Professional-level English communication skills, both written and verbal.
- Ability to work independently, take ownership of tasks, and execute with minimal supervision.
Preferred Qualifications
- Experience in M&A, investment banking, private equity, or professional services environments.
- Familiarity with workflow automation platforms such as Zapier or Make.
- Experience building internal operational tools, dashboards, or reporting systems.
- Basic knowledge of SQL, data analysis, or data manipulation techniques.
- Exposure to revenue operations, deal pipeline management, or business process optimization initiatives.
Compensation & Benefits
- Compensation range: USD $1,900 – $2,200 per month.
- Full-time remote contractor engagement.
- 90-day trial period with performance review and potential compensation increase upon successful completion.
- Paid in USD via monthly invoice.
