Project / Department Overview

The role supports a complex project environment within the Project Management Office. The position is intended for an experienced Senior Project Manager or Lead PMO professional who can act as the central point of contact for organizational, administrative, controlling, and coordination-related project topics.

The Senior Project Manager / Lead PMO will support project governance, financial and contract controlling, project documentation, reporting, communication, subcontractor coordination, and the independent delivery of defined project tasks and work packages.

Responsibilities

The Senior Project Manager / Lead PMO will be responsible for the following tasks:

  • Act as the central contact person for all organizational and administrative project matters.
  • Proactively delegate tasks within the PMO team to PMO staff members.
  • Prioritize activities and workload within the PMO.
  • Support financial, project, and contract controlling for customer contracts.
  • Maintain and manage project forecasts.
  • Track service delivery and time recording of project team members.
  • Support the management and administration of customer contracts.
  • Maintain project data and ensure accurate project documentation.
  • Maintain and follow up on open-item lists according to project requirements.
  • Review Jira tickets for completeness of documentation based on project guidelines.
  • Create, maintain, coordinate, and update project documents according to established project management methods, including risks and changes.
  • Manage and maintain project repositories using SharePoint and MS Project.
  • Update project filing structures and documentation repositories.
  • Create and edit project presentations and project status reports.
  • Coordinate, prepare, and follow up on project meetings and project committees.
  • Create, align, and store meeting minutes and project protocols.
  • Manage subcontractor-related documentation and performance records.
  • Coordinate the completion and administration of project contracts.
  • Independently take over and deliver project tasks and work packages.
  • Coordinate the required resources for assigned project activities.
  • Support the management of deliverables, dependencies, risks, and changes.

Required Qualifications

  • Strong knowledge of common project management standards.
  • Valid certification in project management, such as IPMA Level D or a comparable certification.
  • Practical experience with project management tools, including:
    • SharePoint
    • Jira
    • Confluence
    • MS Project
    • Project Server, if applicable
  • Strong experience with the MS Office package.
  • Good Excel skills.

Required Professional Experience

The candidate should have:

  • At least 5 years of experience as a project team member or PMO professional in the following areas:
    • Reporting
    • Change management
    • Risk management
    • Project planning
    • Management of deliverables and dependencies
  • At least 3 years of experience leading a Project Management Office in complex projects.
  • At least 5 years of experience preparing, organizing, conducting, and documenting project meetings and governance bodies, such as steering committees and customer meetings.
  • Experience in financial, project, and contract controlling.
  • Experience managing project documentation, project repositories, and status reporting.
  • Experience coordinating project resources, subcontractors, and project-related deliverables.

Language Requirements

  • German: C1 level according to CEFR.
  • English: B1 level according to CEFR.

Proof of language skills may be provided through a certificate, reference, self-declaration, or equivalent evidence. Native speakers are exempt from providing separate proof for the respective language.

Project Reference Requirements

If project references are required, they should include:

  • Industry
  • Project title
  • Short project description
  • Performance period in month and year format
  • FTE allocation
  • Detailed description of the candidate's responsibilities and activities in the project

Only project references with a duration of at least 6 months and an allocation of at least 0.6 FTE should be considered.

Additional Information

The expected mobile work share is approximately 40% on average. On-site presence is expected for approximately 2–3 days per week on average. Business travel may be required and is included in the overall on-site presence expectation.
