Project Description – Kanban Implementation & Organizational Transformation Consulting


Project Scope

Provision of consulting services for the introduction and organization-wide implementation of Kanban within a large academic IT service organization.

The engagement includes:

  • Implementation across approx. 15 teams
  • Training and enablement of approx. 100 employees
  • Establishment of sustainable Kanban systems and governance structures
  • Tool-based implementation (Kanban management platform and ticketing system environment)
  • Organizational scaling elements (Flight Levels)

The project aims at establishing Kanban as a long-term operational working model across the organization.

Project Phases

Phase 1 – Kanban Trainings

Delivery of foundational Kanban training sessions to enable all affected employees to actively participate in workshops and operate Kanban systems.

Phase 2 – Workshop Preparation

Assessment of team-specific structures, workflows, and challenges to design customized Kanban systems.

Phase 3 – Kanban Implementation Workshops

Design and implementation of tailored Kanban systems per team, including:

  • Board design
  • Definition of workflows
  • Metrics
  • Meeting structures
  • Tool configuration

Phase 4 – Coaching & Stabilization

Ongoing coaching to ensure sustainable adoption and continuous improvement.

Special Topics

  • Development of internal multipliers (advanced training & train-the-trainer approach)
  • Scaling concepts (Flight Level 2 and optional Flight Level 3 implementation)
  • Project governance, reporting and communication

Technical & Professional Capability Requirements

Mandatory Certification (Knock-out Criterion)

The lead consultant must hold a valid certification from Kanban University:

  • Accredited Kanban Trainer (AKT) or
  • Kanban Management Professional (KMP)
  • Minimum C1 German language proficiency

Proof via valid certificate submission.

Reference Requirements (Core Requirement)

a) Minimum 2 references in the public or academic sector
b) Minimum 3 references for Kanban implementation on team level
c) Demonstrated experience across all Flight Levels:

  • Team Level
  • Value Stream Level
  • Portfolio Level

Each reference must include:

  • Short project description
  • Client sector
  • Duration (month/year – month/year)
  • Scope
  • Description of consultant involvement

Consultant Experience Requirements (Core Requirement)

For each consultant involved in the project:

  • Minimum 500 hours of Kanban training delivery
  • Minimum 250 consulting days in Kanban implementation projects

Experience must be documented in tabular format per consultant.
