Position: Senior Project Manager

Project Manager acts as a lead PMO professional, providing comprehensive support to complex projects within a Project Management Office (PMO) environment. The role focuses on project coordination, governance, reporting, and administrative leadership to ensure structured, transparent, and efficient project execution.

Key Responsibilities

• Coordinate, prepare, and follow up on project meetings and workshops, including agenda creation and documentation
• Create, align, distribute, and archive meeting minutes and decisions
• Manage and monitor project forecasts
• Act as the central point of contact for all organizational and administrative project matters
• Maintain and track open action items in accordance with project guidelines
• Create, maintain, align, and update project documentation in line with established project management methodologies
• Prepare and maintain project presentations and standardized project status reports
• Manage and maintain project documentation repositories using collaboration platforms (e.g. SharePoint)
• Review project tickets for completeness and compliance with documentation standards
• Support change management activities and ensure structured handling of project changes
• Ensure transparency regarding deliverables, dependencies, risks, and milestones

Qualifications & Professional Requirements

Education & Certification

• Certification in recognized project management standards (e.g. IPMA Level D or equivalent)
• Valid certifications must be current at the time of application; equivalent qualifications or proven experience may be accepted where formal certification cannot be provided

Professional Experience

• Minimum five (5) years of professional experience as a project team member in the areas of:
• Project reporting
• Change management
• Risk management
• Project planning
• Management of deliverables and dependencies
• Minimum three (3) years of experience as a PMO or Lead PMO
• At least five (5) years of experience in preparing, organizing, conducting, and documenting project meetings and governance bodies

Tools & Technical Skills

• Proven experience with collaboration and project management tools such as Jira, Confluence, SharePoint, and MS Project (including Project Server, where applicable)
• Advanced user skills in Microsoft Office applications, particularly Excel
• Experience in creating dashboards, reports, and project cockpits

Language Skills

• German: C1 level according to the Common European Framework of Reference for Languages (CEFR)
• English: B1 level according to CEFR

• Strong team-working and stakeholder management skills
• Professional conduct and appropriate interpersonal behavior
• Clear, structured, and confident communication skills
• High level of independence, reliability, and problem-solving capability
• Service-oriented mindset combined with assertiveness

Special Requirements

• Willingness to undergo an advanced security screening (Security Check Level 2)
• Willingness to work in a hybrid model with partial on-site presence (up to approximately 60%)
• General willingness to travel as required (up to approximately 40%)
• Ability to work remotely for a minimum of approximately 40% of the working time
