Project / Department Overview

The role is part of a digitalization program supporting transformation initiatives in complex operational environments. The position focuses on operational PMO support, project structure, documentation, project steering, resource coordination, reporting, and administrative project governance.

The Expert Business Integration specialist will support project leadership in planning, controlling, and coordinating project activities. The role is particularly suitable for experienced project coordinators or PMO specialists with strong methodological knowledge, structured working habits, and experience in regulated or process-intensive environments.

Responsibilities

The Expert Business Integration specialist will be responsible for the following tasks:

  • Support project leadership in planning, steering, controlling, and monitoring project activities.
  • Ensure smooth execution of administrative project processes.
  • Support onboarding and offboarding of team members and external service providers.
  • Provide continuous organizational and administrative support to the project team.
  • Support capacity and resource planning by matching project demands with available internal and external capacities.
  • Monitor and follow up on weekly and monthly project time recording for the full project team.
  • Prepare and create performance records and service confirmations.
  • Validate delivered services and working hours against project contracts and budgets.
  • Organize, prepare, and follow up on meetings, reporting sessions, workshops, and internal project events.
  • Prepare and quality-check presentations, reports, and e-mails in a target-group-oriented manner.
  • Ensure that project leadership has a reliable and consistent information basis.
  • Coordinate interfaces between project management, procurement, and controlling.
  • Maintain project documentation, task tracking, project lists, and reporting structures.
  • Support project governance, project controlling, and multi-project coordination.
  • Contribute to structured communication between project teams, management, and external stakeholders.

Required Qualifications

  • Strong knowledge of common project management methods, including classical, agile, or hybrid approaches.
  • Valid project management certification at the level of IPMA Level D or higher, PRINCE2 Practitioner, PMP, Professional Scrum Master II, or a comparable agile certification.
  • Practical experience in PMO activities or operational project management.
  • Good understanding of project controlling, resource planning, time tracking, reporting, and administrative project support.
  • Confident use of common PMO and project management tools.

Required Professional Experience

The candidate should have:

  • At least 3 years of relevant experience in a Project Management Office or operational project management role within the last 5 years.
  • Experience supporting project leadership in planning, controlling, and steering project activities.
  • Experience in project controlling, multi-project management, or the setup of PMO structures.
  • Experience in capacity planning, resource coordination, time tracking, performance validation, and reporting.
  • Experience preparing decision documents, status reports, presentations, and management-level project documentation.
  • Experience coordinating with project leadership, procurement, controlling, internal teams, and external service providers.
  • At least 2 years of experience in regulated or process-intensive environments, such as public sector, defence, aerospace, automotive, energy, banking, insurance, or comparable structured industries.
  • Experience in large IT projects, programs, or complex organizational transformation projects.

Required Tool Experience

The candidate should have practical experience with:

  • At least one common project management or PMO tool, such as Jira, Confluence, Asana, Smartsheet, or comparable tools.
  • Microsoft Excel, including data analysis and ideally pivot tables.
  • SAP knowledge.
  • Microsoft Office tools for presentations, reporting, documentation, and communication.

Language Requirements

  • German: C1 level according to CEFR.
  • English: B1 level according to CEFR.

Proof of language skills may be provided through a CV, self-declaration, certificate, reference, or equivalent evidence. Native speakers are exempt from providing separate proof for the respective language.
