About the job Executive Assistant to CEO
The National Association of Testing Authorities, Australia (NATA) is Australia's national accreditation body. We provide independent assurance of the technical competence and integrity of organisations for clients who require confidence in the delivery of their products and services.
We are seeking an experienced Executive Assistant to the CEO to provide high-level and trusted support. Working closely with the CEO, you will play an important role in ensuring the effective operation of the CEO's office, coordinating priorities, key commitments and relationships while enabling the CEO to focus on NATA's strategic and organisational objectives.
This highly trusted and autonomous position is suited to an accomplished Executive Assistant who brings sound judgement, discretion and a proactive approach. You will work closely with senior leaders, Board members and key stakeholders, anticipating needs, navigating competing demands and ensuring key actions and priorities remain on track.
About the role
- Strategically manage the CEO's diary, balancing competing demands, protecting time for critical priorities and resolving scheduling conflicts.
- Coordinate complex travel arrangements including accommodation, transportation and visas.
- Prepare and coordinate executive briefing materials, agendas, presentations and meeting papers.
- Support CEO-sponsored initiatives and cross-functional activities, tracking milestones, dependencies, risks and progress.
- Track commitments, decisions and follow-up actions arising from CEO, Executive and Board meetings.
- Anticipate changing priorities and emerging issues, adapting plans and identifying practical solutions.
- Manage correspondence, requests and information flowing through the CEO's office, assessing urgency and escalating matters where appropriate.
- Act as a trusted first point of contact for the CEO's office, managing access and expectations with professionalism and discretion.
- Build strong working relationships with Board members, Executives, government, members, partners and other senior stakeholders.
Essential Criteria
- At least 5 years' experience providing high-level executive support to a CEO, C-suite executive or equivalent senior leader within a complex organisation.
- Previous experience supporting Executive and Board meetings and processes.
- Demonstrated ability to manage complex diaries, travel arrangements, meetings and competing priorities.
- Strong judgement, discretion and initiative, with the confidence to make decisions within your authority.
- The ability to anticipate needs, adapt quickly and work independently in a fast-moving environment.
- Highly developed written and interpersonal communication skills.
- Confidence preparing clear, accurate and professional executive-level materials.
- Strong stakeholder management and diplomacy skills to build trusted relationships with senior internal and external stakeholders.
- Advanced proficiency across Microsoft 365.
- Strong organisational and business awareness, with experience improving executive-office systems and workflows.
