We are seeking a dynamic and detail-oriented Customer and Sales Operations Specialist to join our partner company, an innovator in IT infrastructure innovation. This is your chance to play a pivotal role in an organization dedicated to unifying and streamlining IT solutions, empowering businesses across multiple industries with cutting-edge technology and transformative strategies.

In this role, you will manage various tasks, including handling customer inquiries via email and phone, preparing quotes, updating and verifying account details, negotiating and finalizing contracts, processing orders, and resolving discrepancies.

Main objectives

1) Customer support excellence

Ensure timely and effective resolution of customer inquiries and complaints, maintaining high customer satisfaction. Typical responsibilities here include, but are not limited to:

  • Resolve customer issues and complaints promptly, striving for resolutions within 48 hours.

  • Serve as the main point of contact for customer inquiries and updates, ensuring proactive communication.

  • Maintain up-to-date and accurate customer records in the CRM system to support the sales process.

  • Monitor and enhance customer satisfaction through regular feedback collection and analysis.

2) Sales operations efficiency

Streamline sales operations to enhance efficiency and support the sales team in achieving business goals. Typical responsibilities here include, but are not limited to:

  • Prepare sales quotes, proposals, and contracts promptly and accurately, ensuring compliance with company policies.

  • Ensure up-to-date and organized documentation for all sales activities, providing regular reports on performance metrics to the Director of Sales.

  • Collaborate with cross-functional teams to streamline workflows and reduce bottlenecks.

  • Support lead generation initiatives and assist in the preparation of materials for client presentations. 

3) Order management

Collaborate with Procurement and other teams to ensure timely and accurate processing of customer orders. Typical responsibilities here include, but are not limited to:

  • Verify and maintain accurate records of customer orders and deliveries.

  • Coordinate with internal teams to ensure customer project needs and purchase orders are delivered on time and within budget.

  • Troubleshoot and resolve order discrepancies, ensuring a seamless order fulfillment process.

  • Provide regular updates to customers on order status and address any concerns proactively.

4) CRM management

Maintain and optimize CRM systems to support sales processes and enhance data accuracy. Typical responsibilities here include, but are not limited to:

  • Ensure 100% accuracy of customer records and sales data in the CRM system.

  • Regularly update and verify information to support the sales process and team activities.

  • Train team members on CRM best practices and usage.

  • Generate reports and insights from CRM data to inform decision-making and strategy.

5) Sales growth contribution

Support initiatives that drive sales growth and contribute to the overall success of the sales team. Typical responsibilities here include, but are not limited to:

  • Collaborate with sales representatives and account managers to identify growth opportunities.

  • Support lead generation initiatives, contributing to an increase in sales pipeline volume.

  • Participate in the creation and execution of sales strategies, including event participation and marketing campaigns.

  • Provide feedback on market trends and customer needs to inform strategic decisions.


Must-have qualifications

  • Bachelor’s degree in a related field.

  • At least 1-2 years of experience in the sales field.

  • Strong verbal and written communication skills, with the ability to effectively interact with diverse stakeholders.

  • Demonstrated ability to analyze data and make informed decisions.

  • Exceptional organizational skills, with the ability to manage multiple priorities and meet deadlines.

  • Proactive problem-solving and negotiation skills, with a keen attention to detail.

Nice-to-have qualifications

  • Proven experience in sales support, purchasing, or customer service.

  • Proficiency in Microsoft Office Suite.

  • Familiarity with CRM and ERP systems.
