On behalf of Geraci LLP, we are seeking a highly organized, detail-oriented US Payroll Administrator to support the team remotely. This role is responsible for managing end-to-end U.S. payroll processing, ensuring accuracy, compliance, and timely execution across all payroll functions.

This is a critical finance function requiring precision, confidentiality, and a strong understanding of U.S. payroll systems and regulations.

Key Responsibilities

  • Process bi-weekly and/or semi-monthly U.S. payroll using Gusto
  • Maintain and reconcile payroll records in QuickBooks
  • Ensure accurate calculation of wages, bonuses, commissions, and deductions
  • Manage employee onboarding and offboarding in payroll systems
  • Administer benefits, PTO tracking, and payroll-related adjustments
  • Prepare and process payroll tax filings and ensure compliance with federal and state regulations
  • Handle payroll-related inquiries from employees in a timely and professional manner
  • Generate payroll reports for internal finance and leadership teams
  • Support audits and ensure proper documentation and record-keeping
  • Collaborate with HR and accounting teams to ensure alignment across systems
  • Support firm-wide initiatives, process improvements, and administrative needs
  • Perform other duties as required to ensure smooth operations across teams

Qualifications and Requirements

  • Minimum 3+ years of experience processing payroll in the United States
  • Hands-on experience with Gusto and QuickBooks (required)
  • Strong understanding of U.S. payroll laws, tax regulations, and compliance requirements
  • High level of accuracy and attention to detail
  • Ability to handle confidential information with discretion
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Experience supporting professional services firms (law firm experience is an asset)
  • Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
  • Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required before onboarding.

Preferred (Not Required)

  • Experience working with multi-state payroll
  • Familiarity with law firm environments or professional services organizations
  • Exposure to benefits administration and HR coordination

Working Hours:
Full Time (40 hours per week)
Monday through Friday 8 a.m. - 5 p.m. Pacific Time

Pay: $850 + $55 Allowance per month
