About the job Executive Secretary
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the manager, including managing schedules, coordinating meetings, and organizing events.
- Communication: Communicate effectively and professionally in both English and French, ensuring clear and concise correspondence.
- Quotation Preparation: Prepare accurate and timely quotations for clients and projects.
- Supplier Management: Liaise with suppliers, manage procurement processes, and negotiate contracts and terms.
- Confidential Information: Handle and manage confidential information with the utmost discretion and integrity.
- Report Preparation: Prepare detailed reports and presentations using MS Excel and Word, ensuring accuracy and attention to detail.
- Documentation: Maintain organized records and files, ensuring easy retrieval and secure storage of important documents.
Qualifications and Skills:
- Experience: Minimum of 4-5 years of experience in a similar role, demonstrating a proven track record of providing high-level administrative support.
- Language Proficiency: Strong written and verbal communication skills in both English and French.
- Technical Skills: Proficiency in MS Excel and Word, with the ability to create detailed reports, spreadsheets, and presentations.
- Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Attention to Detail: High attention to detail, ensuring accuracy in all tasks and documents.
- Driving License: A valid driving license is a plus, providing flexibility for travel and errands if needed.

Working Hours: Monday to Friday, 08:30 AM to 5:00 PM
Availability: Must be free on Saturdays if required; thrice per year available on weekends for special events.
