Job Description
We are seeking a Supply Chain & Operations Coordinator to support the day-to-day operational work of a growing ecommerce brand.
The business manufactures its products in China, coordinates international freight through Flexport, and fulfills orders through a third-party logistics partner in Southern California. This role is intended to take ownership of the recurring operational tasks currently handled by the founder and COO, helping keep shipments, inventory movements, wholesale administration, and other executional workflows moving smoothly.
This is an execution-focused role rather than a strategic supply chain position. The ideal candidate is highly organized, communicative, detail-oriented, and comfortable managing straightforward but important operational tasks independently.
Key Responsibilities
Freight & Shipment Coordination
Support international freight bookings through Flexport
Request and review freight quotes as needed
Coordinate shipment details and required documentation with internal stakeholders and external partners
Prepare and send carton markings and other shipment instructions to factories
Track shipment progress and follow up on outstanding freight-related tasks
Help ensure shipments move from factory to warehouse according to plan
3PL & Fulfillment Coordination
Create advance shipping notices in the 3PL system
Place fulfillment and transfer orders with the 3PL
Coordinate shipment instructions and operational requirements with warehouse partners
Support inventory transfers to Amazon and other fulfillment destinations
Track open orders, shipments, and warehouse-related tasks
Follow up with the 3PL when issues or delays arise
Supplier & Factory Support
Coordinate routine operational requirements with manufacturing partners
Share carton markings, shipping instructions, and other production-related details
Follow up on required information and open action items
Help maintain clear communication between the internal team and external suppliers
Wholesale & Accounts Receivable Support
Support administrative tasks related to the brand's growing wholesale business
Monitor outstanding customer payments
Follow up with wholesale customers regarding overdue invoices
Maintain accurate records of payment status and outstanding receivables
Escalate unresolved payment issues to the COO as needed
Operational Administration
Maintain operational trackers and records using Google Sheets
Perform data entry and routine system updates
Manage recurring operational tasks across internal and external portals
Keep accurate records of shipments, orders, invoices, and other operational activity
Support the COO with additional day-to-day ecommerce operations tasks as needed
Communication & Workflow Management
Work closely with the COO and founder in a lean internal team
Communicate proactively about open items, delays, and blockers
Follow through on assigned tasks without requiring frequent reminders
Coordinate with factories, 3PLs, freight partners, wholesale customers, and other external stakeholders
Help ensure important operational tasks are completed accurately and on time
Qualifications
Required
Previous experience in ecommerce operations, supply chain coordination, logistics, fulfillment, or a similar operational role
Experience supporting a DTC or ecommerce business
Experience coordinating with 3PLs, warehouses, suppliers, or freight partners
Experience with shipment coordination, fulfillment workflows, or inventory movements
Experience working with an Amazon fulfillment or inventory transfer workflow
Experience with wholesale operations or accounts receivable follow-up
Experience coordinating production or shipments from suppliers in China
Strong proficiency with Google Sheets
Experience working with operational portals, trackers, and web-based systems
Strong written English communication skills
Strong attention to detail and accuracy
Strong organizational and follow-up skills
Ability to manage multiple routine operational tasks independently
Comfortable communicating with external vendors and partners
Ability to follow established processes and execute straightforward tasks consistently
Proactive communication when something is delayed, missing, or requires escalation
Comfortable working within a small, fast-moving ecommerce team
Ability to work with meaningful overlap with US business hours
Preferred
Experience using Flexport or another freight-forwarding platform
Experience with consumer-product brands
Familiarity with QuickBooks or similar accounting software
