About the job Syndic Management Executive
The role of the Syndic Management Executive is to ensure professional management of the Syndic Operations for the various projects developed and handed over by Mont Choisy.
This includes ensuring that the following key objectives are met:
(a) set up and run professionally the syndic management on behalf of all co-owners and Mont Choisy Group,
(b) timely implementation of all architectural Guidelines,
(c) reporting back to owners is done professionally and timeously,
(d) all building construction conducted on the estate is carried out in line with approved plans, guidelines and regulations issued by the Authorities.
Main Responsibilities:
Syndic Management:
- Set up the Syndic Management division to manage and run the different estates (Bois des Champs, Les Allées du Golf, La Reserve and other future projects)
- Be responsible for each estates syndic budgets and presentations
- Ensure the estates are managed and are kept to the best condition possible
- Coordinate and chair Syndic Committee Meetings
- Manage the accounting and invoicing process for each Estate levies
- Ensure invoices and payments for all co-owners levies are invoiced and received
Management of service providers:
Be responsible for effective management of outsourced or internal service providers with regards to:
- Infrastructure Maintenance
- Landscape Maintenance
- Plant and equipment routine maintenance
- Estate Security
- Upkeep and maintenance of facilities and buildings
- Environmental Control Management
Conflict Resolution:
- Act as a key and instrumental liaison and resource to resolve conflict that may arise with Investors, Residents, Partners, Contractors, and Professionals
- Liaise and communicate as and when required with Municipality, Syndic Architect, and other bodies
Relationship Management:
- Advise Investors, Residents & Partners on the groups development activities and projects as approved by senior management
- Maintain a superior level of work ethic, practices and a high-level of service efficiency
- Consistently build the brand through positive actions and decisions taken
People Management:
Develop and manage the team by:
- Enforce discipline, ethical practices and code of conduct to subordinates
- Participate in recruitment and selection of the right staff as and when required
- Conduct effective performance appraisal of subordinates where applicable in a transparent and fair manner using the groups standard format and KPI setting
- Ensure that responsibilities, authorities, and accountability of any direct subordinate are defined and understood
- Ensure that there is always a backup plan in cases of urgencies
Financial and Project Management:
- Manage capital expenditure budget for the Syndic and in-house projects
- Manage Bulk Water, Electricity, Sewer, Telecommunications, and other services expenses optimally
Risk Management:
- Establish a proper risk assessment register for all activities concerned by identifying potential risks, measuring likely occurrences and impact and steps to be taken to mitigate these risks
- Liaise with the other departments with regard to the Risk Register for all potential risks which may affect the group collaterally
Management Reports:
Ensure regular reporting on Syndic both technical and financial
University Education:
- University degree in Business Administration, Property Management/ Engineering, Project Management or related field
Experience:
Minimum of 5 years experience in a management position within a company involved heavily in property development and/or management activity.
