Job Summary: The Route Coordinator plays a critical operational role in service-based companies by ensuring that field technicians or inspectors are scheduled efficiently and that customer appointments are optimized for time and location. This role is essential for maintaining smooth daily operations, reducing travel time and costs, and enhancing both team productivity and client satisfaction. Ideal for fast-paced environments, the Route Coordinator must be detail-oriented, tech-savvy, and capable of balancing multiple priorities while supporting both internal teams and customers.

Key Responsibilities:

Scheduling & Dispatching

  • Assign jobs to field staff based on location, skills, availability, and priority.
  • Balance workloads to avoid technician burnout and ensure consistent productivity.
  • Adjust routes and appointments in real time due to cancellations, delays, or urgent requests.

Route Optimization

  • Use routing software or mapping tools (e.g., Google Maps, Route4Me, ServiceTitan, ISN, Housecall Pro) to create efficient daily schedules.
  • Minimize travel time and fuel costs through geographic clustering of appointments.
  • Continuously refine route logic based on past performance data and client trends.

Customer Coordination

  • Confirm and communicate appointment details with clients.
  • Coordinate changes or delays with empathy and professionalism.
  • Follow up on incomplete or delayed jobs to reschedule promptly.

Internal Communication

  • Collaborate with admin, sales, and customer service teams to integrate new jobs into the calendar.
  • Provide clear updates to technicians about daily schedules, changes, or urgent matters.

Performance Tracking

  • Monitor KPIs like on-time arrival, job completion rates, technician utilization, and travel time.
  • Generate daily and weekly reports to assess scheduling efficiency and team performance.

Qualifications:

  • Must have prior experience managing the schedules of at least 10 employees, preferably in a service-based or field operations environment.
  • Proven experience in routing, dispatch, or operations coordination.
  • Strong organizational and time-management skills.
  • Familiarity with scheduling and routing software (e.g., ServiceTitan, Housecall Pro, ISN, Google Maps, Route4Me).
  • Excellent written and verbal communication skills.
  • Ability to remain calm and solution-oriented in high-pressure or time-sensitive situations.
  • Experience in the home inspection, HVAC, pest control, cleaning, or related industries is a plus.

System Requirements:

  • Computer: Minimum Intel i5 processor, 8GB RAM, Windows 10 or higher.
  • Monitors: Two monitors for desktops OR an external monitor for laptops (recommended for backup management).
  • Internet: Stable wired connection with at least 100 Mbps speed (higher preferred for WiFi).
  • Backup Internet: A secondary internet source capable of handling full workload OR access to a backup location nearby.
  • Power Backup: Uninterrupted power supply for at least 8 hours OR a backup location accessible within 30 minutes.
  • Work Environment: Dedicated, quiet workspace conducive to professional communication.
  • Headset: Noise-canceling headset for clear audio during calls.
