About the Role

Our client is looking for a reliable and detail-oriented Secretary to support day-to-day administrative and coordination functions. This role requires strong organizational skills, clear communication, and hands-on experience in handling documentation, order processing, and coordination with internal teams and external stakeholders.

Key Roles & Responsibilities:

  • Prepare and issue quotations, dispatch notes, and invoices accurately and on time.
  • Place orders and coordinate import shipments with suppliers, freight forwarders, and clearing agents.
  • Liaise with sales and service personnel regarding customer orders and delivery timelines.
  • Communicate with customers to address order-related queries and updates.
  • Assist with follow-ups on due payments and maintain basic records.
  • Handle general secretarial and administrative duties as required.

Requirements:

  • Minimum 2 years of experience in a similar secretarial or administrative role.
  • Prior exposure to invoicing, quotations, and order processing.
  • Experience coordinating with suppliers, logistics partners, or clearing agents is an advantage.
  • Good communication skills in English (both written and spoken).
  • Strong organizational skills with attention to detail.
  • Proficiency in MS Office (Word, Excel, Email).

  • Ability to multitask and manage deadlines effectively
  • Professional and customer-focused attitude
  • A basic understanding of import/export documentation will be an added advantage
