Position Overview: We are seeking a dynamic and customer-oriented Front Desk Officer to join our team. The Front Desk Officer will be the first point of contact for our clients and will play a crucial role in providing excellent customer service and administrative support to ensure smooth operations at our center.

Qualifications:

  1. Diploma in business administration, healthcare administration, or related field preferred.
  2. Proven experience in a customer service or administrative role, preferably in a healthcare setting.
  3. Excellent communication and interpersonal skills.
  4. Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  5. Proficiency in computer skills, including MS Office (Word, Excel, Outlook).
  6. Attention to detail and accuracy in handling administrative tasks.
  7. Ability to remain calm and composed in a fast-paced environment.
  8. Knowledge of medical terminology and insurance procedures is an asset.
  9. Flexibility to work shifts, including evenings and weekends, as required.

Key Responsibilities:

  1. Greet clients and visitors in a warm and professional manner upon their arrival at the center.
  2. Answer incoming calls, respond to inquiries, and provide information about our services and appointments.
  3. Schedule appointments for clients and manage the appointment calendar efficiently.
  4. Coordinate with healthcare providers and therapists to schedule appointments and manage patient flow.
  5. Verify insurance coverage and process payments accurately.
  6. Maintain patient records and ensure confidentiality of sensitive information.
  7. Keep the reception area clean, organized, and presentable at all times.
  8. Assist in managing inventory and ordering office supplies as needed.
  9. Handle administrative tasks such as filing, scanning, and data entry.
  10. Address client concerns and escalate issues to the appropriate department or supervisor when necessary.
  11. Collaborate with the administrative team to ensure smooth operations and optimal customer satisfaction.
