Position Overview: We are seeking a dynamic and customer-oriented Front Desk Officer to join our team. The Front Desk Officer will be the first point of contact for our clients and will play a crucial role in providing excellent customer service and administrative support to ensure smooth operations at our center.
Qualifications:
- Diploma in business administration, healthcare administration, or related field preferred.
- Proven experience in a customer service or administrative role, preferably in a healthcare setting.
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Proficiency in computer skills, including MS Office (Word, Excel, Outlook).
- Attention to detail and accuracy in handling administrative tasks.
- Ability to remain calm and composed in a fast-paced environment.
- Knowledge of medical terminology and insurance procedures is an asset.
- Flexibility to work shifts, including evenings and weekends, as required.
Key Responsibilities:
- Greet clients and visitors in a warm and professional manner upon their arrival at the center.
- Answer incoming calls, respond to inquiries, and provide information about our services and appointments.
- Schedule appointments for clients and manage the appointment calendar efficiently.
- Coordinate with healthcare providers and therapists to schedule appointments and manage patient flow.
- Verify insurance coverage and process payments accurately.
- Maintain patient records and ensure confidentiality of sensitive information.
- Keep the reception area clean, organized, and presentable at all times.
- Assist in managing inventory and ordering office supplies as needed.
- Handle administrative tasks such as filing, scanning, and data entry.
- Address client concerns and escalate issues to the appropriate department or supervisor when necessary.
- Collaborate with the administrative team to ensure smooth operations and optimal customer satisfaction.
