Job Purpose

The back office administrator will be responsible for supporting various administrative tasks remotely from Pakistan andassisting the admin department based in Dubai. The role requires someone with strong organizational skills, attention to detail, and experience in handling online administrative processes. The candidate will play a vital role in ensuring smooth day-to-day operations by managing visa responsibilities, utility payments, procurement activities, and other back-office functions.

Duties and Responsibilities

Visa Responsibilities:

  • Handle online visa applications, renewals, and updates through designated portals.
  • Ensure all visa-related documentation is accurate and submitted on time.

Dubai Trade Portal Activities:

  • Manage all administrative tasks related to the Dubai Trade portal, ensuring compliance with Dubai regulations.
  • Process and track all trade-related activities through the portal.

Utility Payments:

  • Prepare Excel sheets and purchase orders (POs) for utility payments (Etisalat & DEWA).
  • Monitor and ensure timely payment of utilities.

Online Procurement & Quotation Management:

  • Conduct market research to source quotes from various vendors.
  • Coordinate with suppliers and handle procurement requests.

Comparison and Documentation:

  • Prepare Excel sheet comparisons of quotes and procurement data.
  • Maintain accurate documentation of all back-office activities.

Market Research:

  • Conduct research for various administrative tasks and project-related activities as assigned.
  • Provide regular reports and updates based on findings.

Administrative Support:

  • Assist with any other remote tasks as required by the Dubai-based Admin department.

Skills required:

  • Proficiency in Microsoft Office Suite (Excel, Word, etc.).
  • Excellent communication skills (verbal and written).
  • Strong organizational and multitasking abilities.
  • Attention to detail and high levels of accuracy in work.
  • Ability to work independently and meet deadlines.
  • Experience with online portals and procurement management is a plus.

Position Qualifications:

  • Bachelor's degree in commerce, Business, or a related field.
  • Experience: Minimum of 3-5 years of experience in an administrative or back-office role.
