Job description
The hiring of an Account Payable Executive is essential to support the finance department in bookkeeping, financial reporting, and compliance. This role will assist in managing accounts payable (AP), reconciliations, and financial documentation to ensure smooth financial operations.
Duties and Responsibilities:
Invoice Processing & Payments
- Receive, review, verify invoices for accuracy, proper approvals, and compliance with company policies.
- Process payments (P2P) to local and international suppliers, ensuring timely disbursement.
- Match invoices (3-way matching) with purchase orders and delivery notes, identifying discrepancies and resolving them.
- Maintain accurate records of accounts payable transactions in the accounting system.
Vendor Management & Reconciliation
- Maintain strong relationships with automobile suppliers, logistics partners, and service providers.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Communicate with vendors to address payment inquiries and disputes.
Financial Reporting & Compliance
- Assist in month-end and year-end closing by preparing AP reports and reconciliations.
- Ensure compliance with VAT regulations, tax requirements, and internal audit policies.
- Support external and internal audits by providing necessary documentation.
Process Improvement & Cost Management
- Identify opportunities to streamline accounts payable processes and enhance efficiency.
- Assist in managing cash flow by forecasting upcoming payments and due obligations.
- Monitor and control expenses to optimize cost-saving opportunities.
