We invite applications for the position of Operations Executive from candidates based in Lahore who have completed their management studies with a specialization in Supply Chain Management from reputable institutions, including Ghulam Ishaq Khan Institute of Engineering Sciences and Technology (GIKI), University of the Punjab, National College Of Business Administration & Economics, and Lahore School of Economics.

Candidates with a minimum of one year of relevant experience are encouraged to apply.

The ideal candidate will have strong proficiency in Microsoft Word, Excel, and PowerPoint. Familiarity with Power BI will be considered an advantage.

Duties and Responsibilities (Generic) of the position

Logistics Coordination

Assist in the end-to-end management of vehicle import and export processes.

Track and process documentation such as Bills of Entry, Customs Exit/Entry Certificates, Gate Passes, and claims submission via the Dubai Trade portal.

Coordinate with the customs team to ensure inspections and clearances are scheduled and completed promptly.

Documentation and Compliance

Ensure accuracy in all customs and shipment documentation to avoid errors and unnecessary costs.

Maintain an up-to-date log of all documents in our in house excel trackers and various other in house information relaying systems.

Assist in the preparation of customs documents, securing approvals and signatures, and submitting them within stipulated deadlines.

Inventory and Tracking

Work with the Warehouse and Sales Support teams to track vehicle locations, movements, and inventory levels.

Update the in-house Trackers as shipments are processed, and track completion stages.

Process Optimization

Identify inefficiencies in document tracking and data management and propose improvements.

Support in the rollout of ERP system enhancements to streamline operations and improve accuracy.

Interdepartmental Coordination

Liaise with the Logistics, Quality Control, Parts Procurement, and Warehouse teams to ensure work orders are processed efficiently.

Communicate with Sales Support to align shipment schedules, priority work orders, and any urgent requests.

Customer Coordination

Respond to salesmen inquiries regarding shipment statuses and documentation.

Provide proactive updates to salesmen on vehicle dispatch schedules and export timelines.

Reporting and Data Management

Prepare regular status reports for the Operations Head, detailing logistics timelines, customs compliance, and departmental performance.

Ensure data accuracy across all operational workbooks and ERP entries.

Skills required at fulfill the position

1 to 2 years of experience in logistics or operations, ideally in automotive or import/export sectors. Fresh grads are okay too.

Proficiency in MS Excel; experience with ERP systems is a plus.

Excellent organizational skills, attention to detail, and ability to prioritize in a fast-paced environment.

Strong communication skills for coordinating with internal teams and external stakeholders.

Familiarity with customs processes, Dubai Trade portal, and Free Zone regulations is a big plus but not at all mandatory.
