Job Purpose

We are seeking a highly organized, detail-oriented, and experienced Administration to oversee the smooth day-to-day operations of our offices and showrooms. This role is crucial in ensuring operational efficiency, service excellence, and compliance with local regulations, while also fostering a collaborative and high-performing work environment.

Duties and Responsibilities:

  • Managing day-to-day functioning of offices and showrooms
  • Overseeing the set-up of new office and/or office relocations
  • Ensuring delivery of all 3rd party services according to SLAs & KPIs, with a strong emphasis on quality, efficiency and cost -cost-effectiveness.
  • Participating in the preparation of the administration budget, monitoring financial performance against budget and identifying cost optimization opportunities.
  • Preparing and maintaining reports and MIS
  • Supporting HR department with onboarding and offboarding, including attending immigration and labor office issues, insurance
  • Staying informed on and updating management about new rules and regulations related to labor, immigration, free zone, RTA, DDA, DM, DED etc. issued by local govt. authorities
  • Managing building operations, including security, maintenance & repairs at relevant locations
  • Drive continuous improvement in service delivery, proactively resolving bottlenecks to maintain smooth daily operations.
  • Organizing & planning events and team building activities
  • Management of travel desk (visa, ticketing, hotel booking)
  • Developing and implementing policies and procedures for areas of responsibility
  • Providing adhoc support and assisting in special projects across the department as needed
  • Foster a culture of service excellence, ethics & accountability across administrative support teams

Skills required

  • 7-10 years of progressive experience in administrative operations,
  • Proficient in MS Office Suite (word, excel, PPT, outlook)
  • Proven ability to manage vendor relationships & negotiate service contracts.
  • Process mapping and optimisation
  • Ability and commitment to deliver to strict deadlines without compromising quality
  • A natural aptitude for mathematics and statistics
  • Ability to think analytically, critically, and logically
  • Attention to detail and zero error

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Professional certifications in Facilities Management, Administration, or Project Management will be an advantage.
