Position: Human Resources Assistant 

Location: SM CDO Downtown

Your Role:

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • Assists with new hire orientation and scheduling.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Notifying employees who need continuing education or on-the-job training about upcoming classes or deadlines to renew licenses or certifications
  • Entering data into HR databases

What You Need:

Non-negotiables

Proven experience entering data accurately into HRIS/HR databases and maintaining physical or digital employee files.

Demonstrated ability to handle sensitive employee information, payroll data, and medical records with total discretion and integrity.

Ability to clearly answer standard, front-line employee questions regarding company policies, benefits, and hiring processes.

Experience conducting routine audits of files and documentation to ensure compliance and completeness

Sharp organizational skills to handle scheduling, data entry, tracking deadlines (like training and license renewals), and providing general department support.

Preferred skills/expertise:

Prior experience assisting with new hire orientations and coordinating logistics for company events (e.g., holiday parties, open enrollment, meetings).

Experience monitoring and notifying staff regarding compliance deadlines, continuing education, or professional license renewals.

Prior experience using popular HRIS platforms (e.g., BambooHR, Workday, ADP, or Rippling) and the Microsoft Office Suite / Google Workspace.
