Your Role:

As a Legal Intake & Client Services Specialist, you will:

• Serve as the first point of contact for prospective and existing clients through inbound phone calls and website inquiries.
• Conduct initial intake conversations to gather relevant information about prospective clients and their legal matters.
• Use foundational legal knowledge and terminology to understand inquiries, identify the nature of potential cases, and provide general information without providing legal advice.
• Prepare accurate and detailed call summaries and client intake synopses for attorney review.
• Document client interactions, case information, and follow-up requirements accurately in the firm's CRM or case management system.
• Handle communications from current clients, opposing counsel, real estate professionals, and other external contacts professionally.
• Assess inquiries and route or escalate calls to the appropriate attorney or internal team member based on the nature and urgency of the matter.
• Maintain organized client records and follow established intake procedures and service standards.
• Handle sensitive client and case information with professionalism, discretion, and confidentiality.
• Provide general administrative and client communication support as needed.

What You Need:

Non-negotiables

• Previous experience in legal intake, legal assistance, reception, customer service, or call center environments.
• Foundational understanding of legal terminology and processes.
• Excellent verbal and written communication skills.
• Strong active listening, interpersonal, and client service skills.
• Ability to assess inquiries, prioritize requests, and escalate matters appropriately.
• Strong organizational skills and attention to detail.
• Proficiency with Microsoft Office and CRM or case management systems.
• Ability to manage multiple inquiries while maintaining accuracy, professionalism, and responsiveness.

Preferred skills/expertise

• Experience working in a law firm or legal services environment.
• Familiarity with legal intake procedures and client onboarding.
• Experience preparing client summaries, case notes, intake documentation, or similar records.
• Experience handling confidential and sensitive client information.
• Strong judgment and professionalism when interacting with clients and external contacts.
• Ability to work independently while collaborating effectively with attorneys and internal teams.
