About the job Administrative Assistant

  • Perform general office duties and perform basic bookkeeping work

  • Manage and maintain executives’ schedules and book travel arrangements as needed

  • Prepares and files reports, memos, letters, and other documents

  • Perform photocopying and other production services

  • Assist in coordinating special events and projects

  • Attend meetings to record minutes

  • Gather in-house crew hours and submit them to HM for processing.

  • Manage new-hire onboarding, including HireRight, system access, and laptop setup for training.

  • Collect daily production sheets and paper as-builts from in-house crews.

  • Create Charter‑compliant as-builts (colors, codes, survey data, CRQ numbers) using production sheets, Fulcrum entries, field as-builts, and coordination with Construction Managers.

  • Assign and debrief production for in-house crews.

  • Verify that as-builts align with production entered and that all billing codes are correct.

  • Validate NTP values against production quantities.

  • Upload completed as-builts into the tracker under the appropriate job numbers.

  • Distribute daily production reports and paper as-builts to the appropriate stakeholders for next steps

  • Coordinate with in-house staff and contractors via email to gather billing information required for Charter-standard as-builts.

  • Revise as-builts as required by MasTec Finance or Charter during the approval process.

  • Receive NTPs/WOs from team members and request SR numbers as needed.

  • Submit SR requests via Google Form and upload NTPs for entry into Oracle for new BAU and RDOF jobs (Tampa & Winter Garden).
