Your Role:
Recruitment Support
- Conduct light candidate screenings via email, chat, or messaging to confirm availability, interest, and qualifications.
- Conduct 5-10 minute phone call with candidates to complete screening.
- Post and manage job advertisements on platforms such as LinkedIn, Indeed, and other job boards.
- Review resumes and identify candidates who meet basic job requirements.
- Reach out to potential candidates to introduce job opportunities.
- Coordinate and schedule interviews between candidates and hiring managers.
- Send interview confirmations, reminders, and follow-up communications.
- Maintain accurate candidate records in internal systems or spreadsheets.
Scheduling & Coordination
- Manage interview scheduling across multiple calendars.
- Coordinate interview logistics including meeting links, availability checks, and confirmations.
- Update recruitment trackers and scheduling tools.
Administrative & Back Office Support
- Respond to general email inquiries and route messages to appropriate team members.
- Assist with calendar management and meeting coordination.
- Perform data entry and maintain organized records.
- Support basic reporting and documentation tasks.
- Provide general administrative assistance as needed
- Edit and update documents using Canva (presentations, marketing materials, internal docs)
- Maintain and update Certificates of Insurance (COIs) to ensure accuracy and compliance
- Complete and submit school/vendor registration forms to secure approved vendor status
- Review and process expense reports for accuracy, completeness, and policy compliance
What You Need:
Non-negotiables
1+ years of experience in administrative support, HR coordination, recruiting coordination, or scheduling roles.
Proven experience managing complex, multi-calendar interview schedules and logistics (including Zoom/Teams links and time zone checks).
Experience using Applicant Tracking Systems (ATS), recruitment trackers, or spreadsheets to maintain flawless candidate records.
Competency in managing inbox routing, data entry, calendar organization, and basic expense report processing.
Preferred skills/expertise:
Prior experience proactively reaching out to passive talent to introduce new job opportunities.
