ROLE PURPOSE

The HR Coordinator provides administrative and coordination support to the HR Business Partners and HR Managers across a range of employee lifecycle activities. The role supports HR documentation, workplace investigations, job updates, site acquisitions and contract loss projects, while ensuring employee information and records are processed accurately, confidentially and in a timely manner.

PRIMARY DUTIES & RESPONSIBILITIES

  1. 1. Safety

Perform all duties in a safe manner, taking reasonable care for your own health and safety, as well as the health and safety of others.

Participate in relevant training and comply with Millennium’s safe work practices and procedures.

Promptly report incidents, hazards and near misses.

  • Maintain confidentiality and professionalism when managing safety-related matters.
  • 2. HR Administration

Provide general HR administrative support to HRBPs and HR Managers.

Prepare HR documentation, including performance management letters, warning letters, termination letters, meeting invitations and other employee correspondence.

Maintain accurate and confidential employee records and documentation.

Assist with HR reporting, trackers and general employee lifecycle administration.

Respond to routine HR enquiries and escalate complex or sensitive matters as required.

  2. Process and administer employee job updates.
  3. Review job update requests to ensure the information and approvals provided are complete and accurate.
  4. Prepare relevant employment agreements, variation letters and employee correspondence.
  5. Liaise with managers, People Services and Payroll to resolve incomplete or inconsistent information.
  6. Maintain accurate job update records and ensure changes are processed within required timeframes.
  7. Employee Relations & Workplace Investigations

Facilitate and coordinate workplace investigations under the direction of the HR Business Partner or HR Manager.

Prepare investigation documentation and coordinate meetings with employees, managers and witnesses.

Maintain accurate and confidential investigation records.

Track investigation actions, correspondence and outcomes.

Escalate sensitive or high-risk matters to the appropriate HR representative.

  1. Site Acquisition Projects
  2. Coordinate HR activities relating to site acquisitions and employee onboarding.
  3. Coordinate the collection and processing of employee information.
  4. Maintain onboarding and acquisition trackers.
  5. Liaise with relevant stakeholders to ensure employees are onboarded accurately and within required timeframes.
  6. Contract Loss Projects
  7. Coordinate HR activities relating to contract losses and employee transitions.
  8. Process employee information relating to transfers, redeployment and offboarding.
  9. Prepare and distribute relevant employee documentation and communications.
  10. Maintain contract loss and offboarding trackers.
  11. Liaise with internal stakeholders to ensure employee transfers and offboarding actions are completed.
  12. Stakeholder Support
  13. Build effective working relationships with the People & Culture team and operational stakeholders.
  14. Communicate professionally when requesting information, providing updates and following up outstanding actions.
  15. Support the delivery of HR projects and initiatives as required.
