    Your Role:

    As a Facilities and Administrative Officer, you will: 

  • Execute daily physical site rounds and enforce House Rules, Regulations, and FaCS Policies to ensure strict adherence to company standards.Manage department expenses by accurately encoding and updating the expense tracker while processing Purchase Requisitions and payment requests promptly.
  • Optimize inventory levels by monitoring office supplies, anticipating needs, and expediting orders to maintain optimal stock for stakeholders.
  • Coordinate facility maintenance and repairs, including pest control, AC cleaning, and carpet cleaning, ensuring activities are scheduled and completed quarterly.
  • Oversee vendor relationships and sourcing, coordinating with contractors for site renovations and managing vendors to ensure business requirements are met.
  • Implement Asset Management Policies by maintaining updated furniture inventories and assisting in conducting physical site asset counts.
  • Support safety and security by assisting in emergency preparedness training, responding to urgent issues, and strictly implementing physical security controls.
  • Facilitate site logistics, including local or remote office moves, seat plan arrangements in coordination with IT, and addressing staff concerns regarding facilities.
  • Report on core business needs by providing investigative data for breakdown analysis and ensuring required action items are resolved.

    What You Need:

    Non-negotiables

    • Bachelor’s Degree in Business Administration, Management, or a related field.
    • Proven experience in Facilities Management, Office Administration, or a similar role.
    • Strong organizational skills with the ability to manage multiple vendor relationships and maintenance schedules.
    • Proficiency in Microsoft Office Suite, particularly Excel for expense and inventory tracking.
    • Excellent communication skills for coordinating with building personnel, contractors, and internal stakeholders.

      Preferred skills/expertise

      • Experience in vendor management and contract negotiation.
      • Knowledge of occupational health and safety standards (e.g., electrical safety, emergency preparedness).
      • Ability to work onsite and handle physical site inspections and asset counts.
