Job Purpose
To manage and maintain all administrative documentation and data processes within Supply Chain Management (SCM), covering internal operational needs and external regulatory requirements. This includes the handling of regulatory documents, periodic reporting, and financial administration to support day-to-day Business & Operations activities.
Key Responsibilities
1. Regulatory Document Management
- Maintain, update, and archive regulatory documents required for supply chain operations, sourcing activities, product compliance, and vendor coordination.
- Ensure document accuracy, completeness, and alignment with internal quality and compliance standards.
- Liaise with internal stakeholders to ensure all regulatory records are consistently updated and audit-ready.
2. Data Management for Business & Operations
- Manage operational data resources used within Business Development / Business & Operations.
- Update and track databases related to vendors, supply partners, warehouse operations, SKU master data, and product lifecycle information.
- Support data consolidation for reporting, dashboards, and performance tracking.
3. Financial Administration
- Support financial documentation including invoicing, payment verification, budget tracking, and coordination with the Finance team.
- Prepare administrative inputs for procurement, vendor billing, and other operational financial records.
- Ensure financial documents are properly organised, securely stored, and aligned with internal audit standards.
4. Cross-Functional Coordination
- Work closely with Supply Chain, Strategic Sourcing, Warehouse, Finance, and Product teams to ensure smooth administrative workflows.
- Facilitate information flow between internal teams and external partners where documentation is required.
- Provide day-to-day administrative support to Business & Operations leadership.
Requirements
- Bachelor or Diploma degree in Business Administration, Management, or a related field.
- Minimum 1-2 years of experience in administrative roles, preferably within consumer goods, retail, warehouse operations, or supply chain environments.
- Strong understanding of document governance, reporting workflows, and financial administration processes.
- Proficient in spreadsheets, data management tools, and digital documentation systems.
- High attention to detail, excellent organisational capability, and the ability to manage multiple priorities under fast-paced operational cycles.
- Strong communication skills with a proactive, solution-oriented mindset.
