Beach Staff Utilization on Support Work
Interact daily with Partners, Principals, Managers and Business Operations Team members to understand requirements in terms of required support on marketing/non billable work and address requests timely.
Suggest staffing allocations by matching beach staff resources to support requests and ensure optimal solutions in case of conflicts.
Close the loop through continuously communicating with senior stakeholders when beach staff must be released from support work to billable assignments.
Assist seniors in identifying profiles for proposals that match specific requirements (e.g. educational backgrounds, experience in platforms etc..).
Ensure that beach staff are consistently utilized, and promptly inform the Manager if any concerns arise.
Propose enhancements to the support work allocation process and management based on any emerging issues.
Reporting & Process Digitization
Maintain a close view on staffing reporting (open needs, master staffing sheet, availability, backlog, newsletter, etc...).
Identify opportunities to automate staffing reports and processes and support their implementation using digital platforms like PowerBi and ChatGPT.
Assist in the migration to new staffing systems (e.g PSA) by offering insights on reporting and actively participating in testing.
Support staffing managers in preparing for appraisal committees by extracting key statistics (e.g. staff with investments) and developing tailored reports for the committee.
Coordinate the staffing extensions and rotations with the Staffing Manager, and flag situations not aligned with guidelines.
Capability
Act as a key liaison to other functional areas of the business and build productive cross- functional relationships especially with Business Operations Managers, and other HC teams.
Play a key role in onboarding and coaching the new staffing assistants in the Staffing team.
Collaborate and work closely with the staffing team members.
Knowledge, skills and abilities
Qualifications
University degree
3 years of relevant experience
Skills
Computer proficiency (Excel, PowerPoint, Word)
Approachable and diplomatic, works well under pressure
Strong interpersonal, organizational and communication skills
Sound judgement and objectivity
