Our client is a leading global consulting firm, helping the world's top businesses, governments and organizations. Looking for a new "Business Operations Assistant"

 covering Middle East region.

Primary Duties and Responsibilities

  • Work closely with the Business Operations team (business operations managers and business operations assistants) and interact with senior client staff to provide support to all practices.
  • Handle coordination directly with the external subcontractors, with supervision of a Sr. BOM
  • Handle specific tasks of the practice (s) and serve as first point of contacts for the following:
    
    1. Prepare third party subcontracts and manage their invoices tracking and payments, coordinating closely with the subcontractors, accounts payables team and procurement team, as well as Legal team and Tax team as needed.
    
    2. Prepare client invoices in close coordination with the accounts receivable team
    
    3. Manage project bookings: collect the needed documents from seniors and BOMs, update Salesforce system, work closely with the Finance team.
    
    4. Handle Knowledge management (KM) of all practices:
    
    a. Follow up on and collect KM material (project qualifications and intellectual capital material) from seniors, and update of KM tracking sheets and repositories.
    
    b. Upload of material on Consulting Source.
    
    c. Act as facilitator and handle KM requests, coordinating directly with client staff.
    
    d. Collect practice aligned CVs.
    
    5. Handle expenses transfers and codes termination, closely coordinating with expense team.
    
    6. Participate in team initiatives aiming to further improve business operations.
  • Work with Head of BOMs and/or a Senior BOM and/or Finance to run analysis on Bookings and Subcontractors.
  • Supports Business Operations Managers in managing specific accounts projects financials (track the actual vs. budget time and expenses of each project), report status to seniors and forecast time and expenses when needed.

Knowledge, Skills, and Abilities

  • University Degree.
  • 1-2 years relevant experience.
  • Background in management preferred.
  • Strong oral and written communication skills.
  • Affinity to work with quantitative data.
  • Excellent organization and time management skills - able to work within an unstructured environment.
  • Service-orientated attitude, proactive thinker, networker, information seeker and team player.
  • Strong knowledge of relevant computer software (e.g. Microsoft Office), Excel, PowerPoint, Outlook.
  • Ability to interact efficiently with senior members of the firm across time zones.
