Position Overview : The Operation Support Supervisor is responsible for supporting terminal operational excellence through planning, monitoring, coordination, reporting, and performance analysis related to vessel operations, equipment deployment, throughput, and stakeholder collaboration. This role ensures operational alignment between terminal, shipping lines, agents, and IPC to achieve efficient, safe, and cost-effective port operations.
Responsibilities :
Operational Monitoring & Planning
- Monitor and update daily throughput and vessel schedules to ensure operational readiness and accuracy.
- Prepare and distribute monthly vessel schedule summaries based on information received from shipping lines.
- Coordinate with shipping lines and port agents regarding vessel berthing prospects, ETA/ETD updates, and schedule changes.
- Coordinate with IPC regarding operational patterns, berth planning, and other operational requirements.
- Review vessel operational performance after vessel completion, including productivity, delays, and resource utilization.
Reporting & Performance Analysis
- Prepare monthly incentive reports for operators in accordance with performance data.
- Prepare and submit monthly OJA performance reports.
- Compile and report Bongkar/Muat (B/M) reports to be submitted to Syahbandar, OP, and the Department of Transportation.
- Prepare equipment deployment reports prior to vessel berthing to ensure operational preparedness.
- Provide RBM (Realisasi Bongkar Muat) and specifically prepare and submit RBM reports for MSC Shipping Line based on IPC operational data.
Budgeting & Forecasting
- Prepare quarterly throughput budgeting and forecasting per shipping line to support commercial and operational planning.
- Support management with operational data analysis for capacity planning and efficiency improvement.
Coordination & Communication
- Coordinate closely with port agents (P-Agent), shipping lines, and stakeholders related to vessel arrival updates and operational readiness.
- Act as a liaison between terminal operations, planning teams, IPC, and external stakeholders to ensure smooth information flow.
- Support issue resolution related to vessel delays, operational constraints, and resource allocation.
Compliance & Documentation
- Ensure accuracy, completeness, and timeliness of all operational documentation and reports.
- Support compliance with port authority regulations and standard operating procedures.
- Maintain proper records of operational data, schedules, and performance reports.
General Requirements:
- Education: Minimum of a Diploma (D3) in Logistics, Maritime Studies, Business Administration, or a related field.
- Experience: Minimum of 3 years of experience in shipping operations, terminal container management, or a similar administrative supervisory role.
- Language: Fluency in Bahasa Indonesia is required; proficiency in English (speaking and writing) is highly preferred for professional correspondence and reporting.
- Location: Must be willing to be based full-time at the OJA Site Office, Jakarta.
Technical Skills:
- Industry Knowledge: Deep understanding of terminal container reporting and logistics documentation processes.
- IT Proficiency: Advanced skills in Microsoft Office (Excel & PowerPoint) for data analysis and professional presentations.
- Communication: Strong interpersonal skills with the ability to present complex operational data clearly to stakeholders.
