About the job Chief Personal Assistant
- Maintain and responsible for organizing VPs agenda, administer scheduling of meetings, resolving conflicts whenever possible. Reminding of upcoming meetings, keep track of and follow up all the action items. Draft and prepare correspondence, interacting internally & externally of the organization.
- Raise Travel Management Online Application, arrange travel itineraries (hotel, flight & agenda of travel).
- Coordinate, compile, arrange/edit and cross-check all the reports provided & to be sent to VPs office.
- Check/edit, cascade information/announcements to all VP staff. Circulate VP Daily Reports to all VP Department Managers
- Monitor and follow up on all issues related to staff that include staff planning, reports, promotions, transfers, Performance Management Data, training, remuneration and salary progression, staff development and other personnel related issues.
- Continuously manages all the job-related activities in the Directorate with sincerity, diligently and conscientiously.
- Makes necessary follow-up with the Departments concerned in the Corporation on all matters that need urgent action to meet deadlines.
- Responsible for calendar management to coordinate a variety of meetings within the Directorate.
- Maintains and updates a comprehensive filing and e-filing system including personal files of all Department Managers and staff reporting to VP as well as other correspondence of highly technical and very confidential nature to the Corporation.
- Keeps a record of all correspondences from Senior Management, Departments reporting to VP as well as other Departments received for signature, comments, action and information.
- Must be able to locate correspondence and readily identify source when VP requires any information.
- Thoroughly review all incoming documents, ensure all related correspondence / documents are attached, and ensure that all documents are in line with the Corporation Procedures, before presenting them to VP for review.
- Keep a record of all outstanding action items and follow up with relevant Directorates/ Departments, from time to time when action on important issues.
- Keeps an updated filing system for VP concerning all committees which VP is involved within client and outside of client.
- Maintains an efficient and professional public relations protocol when dealing/ receiving client Directors / Managers as well as Executives from subsidiaries and International Companies.
- Work with minimum guidance and demonstrate a high degree of drive and initiative, as job is largely unsupervised and often very demanding.
